Staff Accountant
Job Summary
The Staff Accountant is a mid-level role within the organization that is responsible for managing full cycle accounts payable operations, while ensuring accuracy, timeliness, and regulatory compliance across all payment processes. The Staff Accountant maintains daily accounts payable reports, reconciliations, and financial files, and annual tax documents, working with employees within the organization, and external contacts and vendors.
Essential Duties & Responsibilities
Maintain accounts payable reports, spreadsheets, corporate accounts payable files, and accounts payable schemas daily
Oversee electronic vendor invoices and imports into accounting systems with loan level detail
Ensure vendor files are up to date with all W9 requirements being met as well as ACH Enrollment Forms and Certificates of Insurance being filed and attached to proprietary system
Correspond with vendors and respond to inquires in a timely manner
Coordinate funding approval and process check and ACH runs on designated days. Prepares and send approved wire and ACH transfers by completed appropriate forms, verifying wire and ACH instructions, or approving via the proprietary system.
Communicates with organization management to ensure payments and branch allocations are authorized appropriately
Interprets payment terms to ensure timely and accurate processing of vendor invoices and payments taking proper action to correct discrepancies, as needed
Research state requirements for tax filings to ensure compliance
Process renovation request payments and reviews for accuracy and completeness
Prepared adjusting entries, as needed
Upload positive pay files to bank
Allocate prepaid expenses and reconcile monthly to ensure allocations were appropriately expensed by analyzing all prepaid expenses
Prepare personal property tax returns
Prepares state use tax returns monthly, quarterly, semi-annually, and annually
Assist with the preparation of annual IRS Form 1099 and Form 1098 reporting
Aid with warehousing lending, as needed.

Knowledge, Skills and Abilities
Experience in Mortgage Accounting (Preferred)
Experience with financial software, Loan Vision (Preferred)
Education Requirements
Associate’s degree or equivalent related experience (Required)
Experience
Minimum of 2+ years in an accounting role (Required)
Work Environment
Work is performed within a home office environment, with standard office equipment available as needed.
