POSITION SUMMARY:
The Client Service Associate plays a key role in delivering exceptional service to Strong Financial Network clients. Working under general supervision, this position serves as the primary point of contact for all in-person visitors and incoming callers, including clients, prospective clients, vendors, and other guests. The Client Service Associate ensures the smooth operation of daily office activities and supports the firm’s commitment to a professional, organized, and client-focused environment.
QUALIFICATIONS:
Exceptional attention to detail and adherence to firm policies and procedures is required. Professional demeanor with excellent customer service and communication skills, including strong phone etiquette. High level of reliability, discretion, and ability to maintain confidentiality. Ability to multitask, prioritize, and pivot between responsibilities throughout the day while ensuring completion of open tasks. Interest in developing a long-term career within the financial services industry, including a commitment to ongoing training and skill development. Willingness to pursue and obtain the Series 6 Securities License and California Life/Health Insurance License and Notary Public commission, if not already held. This is a full-time, non-exempt (hourly) position.
DUTIES:
· Front Office Reception: Greet and welcome clients and prospects upon arrival; maintain a professional and hospitable reception area. Serve as the first point of contact for all incoming calls; answer inquiries, route calls, and assign follow-up tasks as appropriate.
· Client Service: Assist clients and prospects with basic account-level questions and document all related interactions. Return all client and prospect phone calls by the end of the business day. Manage office scheduling functions, including client review appointments and service requests.
· Account Set-Up and Administration: Open new accounts as directed by the Office Manager; process new account paperwork accurately and efficiently. Set up and maintain digital files and conduct daily task callbacks. Perform general account administration tasks in accordance with firm procedures.
· Account Maintenance: Process routine account maintenance requests, including contributions, distributions, beneficiary changes, and banking setups. Scan, upload, and index documents within the client records management system. Monitor account notifications; research and resolve issues or assign tasks as needed.
· Client Review Preparation: Support the Financial Planning Manager by preparing and updating review cover sheets, and monitoring scheduling trackers. Confirm client appointments and assist with rescheduling as necessary. Prepare and print review reports and materials prior to scheduled meetings. Email review documents as requested.
· Compliance and Recordkeeping: Maintain required compliance logs and submit monthly reports as needed. Ensure documentation meets regulatory and internal standards.
· Client and Community Outreach: Identify and actively participate in a local service organization as a representative of Strong Financial Network.
· Additional Support Duties: Assist with client workshops, appreciation events, advisory board meetings, and other firm activities. Respond to general client inquiries and support operational needs as assigned.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, this position is frequently required to do the following:
· Ability to sit or stand for extended periods.
· Frequent use of keyboard and computer systems.
· Clear speaking and hearing ability for telephone communication.
· Ability to read documents at close and intermediate range.
· Occasionally lift or move items up to 20 pounds (e.g., storage boxes).
WORK ENVIRONMENT:
