Candidates should be professional, motivated, organized and possess exceptional oral and written communication skills. Prior legal experience in a law firm environment is required. This position would be located out of our Columbia office with flexibility regarding a hybrid/remote schedule.The purpose of this role is to provide new hire orientation and training on MGC case management applications; coordinate firm updates; develop the firm’s practice management applications, processes and workflows; develop Practice Group documents/dockets; train all timekeepers in client-compliance; and make recommendations on actions to increase firm efficiencies, as necessary, in a manner consistent with MGC policies, procedures, quality, standards, client needs and applicable local, state, and federal regulations.Essential Functions and Responsibilities:Work directly with the Applications Team in developing, updating and revising legal documents and templates in the firm’s case management applications, ProLaw, including creating client documents based on client guidelines. Responsible for new hire trainings on case management system and ongoing support for members of assigned practice group. Develop and maintain training materials and programs for legal professionals and support staff. Creates, updates and maintains procedure manual for practice groups across firm. Review current processes in case management application as well as workflow procedures to recommend better and improved efficiencies. Attend and engage in practice group meetings. Travel as necessary to provide training on the functionality of the case management applications to include new employee orientation and ongoing related education. Responsible for preparing files leaving the firm due to client requests or conflicts to ensure firm proprietary information is removed from electronic and physical file before transfer is initiated including file copies going to co-counsel. Tracks and requests file reassignments upon associate termination according to Off-boarding Procedure. Onboarding/Off-boarding for members are initiated by SWAT leads and handed over to Practice Management Specialist to continue to track, request file reassignments and prepare outgoing client files according to Onboarding and Off-boarding Procedures. Responsible for preparing firm for a file audit, virtual and/or on-site, as requested by client. Provide reporting as requested by clients. Testing and training on new or updated case management system. Serve as a liaison between legal teams, external stakeholders, and other departments within the organization. Facilitate effective communication and collaboration among team members, fostering a cohesive work environment. Coordinate with external legal counsel, vendors, and regulatory agencies as necessary. Qualifications:Proven experience in a legal environment, with demonstrated expertise in legal process management. Strong leadership and supervisory skills, with the ability to motivate and develop team members. Excellent understanding of legal principles, procedures, and terminology. Proficiency in legal research, document preparation, and recordkeeping. Exceptional organizational and multitasking abilities, with a keen attention to detail. Effective communication and interpersonal skills, with the ability to interact confidently with internal and external stakeholders. Knowledge of relevant software applications and document management systems. Commitment to maintaining confidentiality and upholding ethical standards.
