Equity Medical, LLC is a rapidly growing multi-site clinical research organization conducting trials across multiple therapeutic areas. We partner with pharmaceutical sponsors, CROs, and research partners to deliver high-quality clinical trial execution across our expanding network of sites.We are seeking a highly organized and professional Executive Assistant to support executive leadership in a fast-paced clinical research environment, serving as a high-trust coordination point for executive operations, priorities, and cross-functional execution.Position SummaryThe Executive Assistant will provide high-level administrative and operational support to executive leadership and assist with day-to-day coordination across multiple departments and research sites. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage competing priorities efficiently.The ideal candidate has prior experience supporting senior leadership within a healthcare, clinical research, CRO, or corporate environment and is comfortable working independently in a dynamic, fast-growing organization.This role is a high-trust Executive Assistant position supporting executive leadership in managing complex daily operations, strategic priorities, scheduling demands, and organizational coordination across multiple teams and research sites.The ideal candidate is highly discreet, exceptionally organized, and comfortable working independently while anticipating needs, managing shifting priorities, and serving as a key operational partner across leadership and cross-functional teams.This role requires strong judgment, flexibility, and the ability to handle confidential and sensitive information with the highest level of professionalism.Key ResponsibilitiesProvide direct administrative support to executive leadership, including complex calendar management, prioritization, and executive scheduling coordinationManage calendars, scheduling, meeting coordination, and travel arrangementsCoordinate internal and external meetings, including preparation of agendas, meeting minutes and follow-up items, as well as tracking action items and deliverables post-meetingDraft, edit, and organize professional correspondence, reports, presentations, and meeting materialsAssist with document management, file organization, and administrative workflowsSupport communication and coordination across multiple departments and research sites, ensuring alignment, clarity, and timely information flowTrack tasks, deadlines, and action items for leadership and operational teamsAssist with vendor coordination, contract routing, and administrative follow-up as assignedSupport onboarding coordination, meeting logistics, and operational projects as neededMaintain confidentiality of sensitive business, employee, financial, and operational informationAssist with process improvement initiatives and operational organization, including identifying workflow efficiencies and administrative optimization opportunitiesPerform additional administrative and operational duties as assignedQualificationsMinimum 2–3 years of Executive Assistant, Administrative Assistant, or operations support experience requiredPrior experience supporting senior leadership strongly preferredExperience in healthcare, clinical research, pharmaceutical, CRO, or professional services environments preferredStrong organizational and time management skillsExcellent written and verbal communication skillsHigh level of professionalism, discretion, and attention to detailAbility to manage multiple priorities and deadlines in a fast-paced environmentStrong proficiency with:Microsoft Office (PowerPoint, Word, Excel)Google WorkspaceCalendar management toolsVirtual meeting platforms (Zoom, Microsoft Teams, etc.)Preferred ExperienceExperience working in a fast-paced healthcare or clinical research environmentFamiliarity with clinical research operations or multi-site organizationsExperience coordinating across multiple departments and stakeholdersExperience with project coordination and operational trackingPosition TypeFull-time positionHybrid opportunity based on candidate locationOccasional travel may be required based on business needsBenefitsEligible employees may participate in Company-sponsored benefit programs in accordance with Company policy and applicable plan terms.Equal Opportunity EmployerEquity Medical, LLC is a multi-state, multi-therapeutic clinical research organization with an independent CRO division.
