Sales Operations Specialist

SmartLab Learning builds hands-on STEM learning environments for K-12 schools across the country. The Sales Operations Specialist is a key operational role that sits across Sales, Customer Success, and Fulfillment. This candidate will own the systems, processes, and data that move a SmartLab from signed proposal to delivered product.This is a role for someone who has done real sales operations work: built and maintained Salesforce workflows, owned reporting and dashboards, managed quote-to-cash processes, and served as the operational backbone for a revenue team. You will work closely with a high-standards leader in a fast-moving environment where priorities shift and good judgment matters. If you have built processes from scratch, cleaned up data, and kept a sales team running smoothly behind the scenes, you will find meaningful work here.This is a hybrid position based out of our Longmont, Colorado warehouse. Expect roughly three days per week on-site, with flexibility to work remotely the rest of the time. On-site days occasionally include hands-on fulfillment support in the warehouse.Duties and ResponsibilitiesProposals, Pricing, and ConfigurationOwn the production of customer proposals, product configurations, and SmartLab pricing in support of Sales and Customer SuccessMaintain and improve internal configuration tools and documentation used to generate pricing, deliverables, and lab-specific documentsEnsure proposals and quotes are accurate, timely, and consistent; always catching errors before they reach the customerProcess and manage purchase orders across multiple systems, resolving discrepancies with internal teams and vendorsSalesforce and Revenue OperationsServe as the day-to-day Salesforce operator for the revenue team, maintain data integrity, support object configuration, build and refine workflows, and troubleshoot issues across the pre-sale to post-sale cycleDevelop and maintain working knowledge of Salesforce Price Book and quoting objects to support testing, improvements, and user questionsRefine and manage approval workflows for discounts, exceptions, and non-standard deal termsProvide operational input and testing support for ERP and quote-to-cash tool changes, and keep process documentation currentReporting and DashboardsBuild and maintain recurring reports and dashboards in Salesforce and Excel for Sales, Business Development, Customer Success, Integrated Operations, and FulfillmentMonitor data quality across key systems and work with stakeholders to resolve issues before they affect reporting or order accuracySales Enablement and Cross-Functional SupportCreate and maintain training materials and quick-reference guides for proposal tools, Salesforce processes, and dashboardsAct as the operations connector across Sales, Business Development, Customer Success, Integrated Operations, and Fulfillment; keeping handoffs clean across the quote-to-cash journeyCoordinate cross-functional inputs for RFP responses and help ensure submissions are accurate and compliantFulfillment and On-Site Warehouse SupportProvide periodic on-site support including picking, packing, shipping preparation, and basic inventory tasksPartner with warehouse and fulfillment team members to support accurate, on-time delivery of SmartLab and catalog ordersOccasional lifting and staging of product up to 30 to 40 pounds in accordance with safety guidelinesRequirementsExperience3 or more years in sales operations, revenue operations, or a closely related roleHands-on Salesforce experience working with objects, fields, workflows, validation rules, or reportingDemonstrated experience supporting proposals, pricing, product configuration, RFP responses, or order processingFamiliarity with ERP or MRP systems is a plusProficiency with Microsoft 365, particularly Excel, Outlook, and TeamsBackground in K-12 education or EdTech is helpful but not requiredBachelor's degree preferred, or equivalent experienceSkills and AbilitiesYou understand how sales operations connects to the broader quote-to-cash cycle and can work effectively across revenue, operations, and fulfillment teamsYou build reliable reports and dashboards and care about data accuracy upstream, not just the outputYou are analytical -- you spot process gaps and data issues and you propose practical fixesYou document your work clearly and can turn a messy process into a guide someone else can followYou manage competing priorities well and do not need perfect information to move forwardYou communicate clearly in writing and in conversation, including with non-technical stakeholdersYou can occasionally lift and move materials up to 30 to 40 poundsBenefitsHealth Care Plan (Medical, Dental & Vision)Retirement Plan (401k)Life Insurance (Basic, Voluntary & AD&D)Paid Time Off (Vacation, Personal & Public Holidays)Family Leave (Maternity, Paternity)Salary range: $62,000-$74,000Department: OperationsJ-18808-Ljbffr
