JOB DESCRIPTION: Administrative Assistant I-DistrictTITLE: Administrative Assistant I-District Office/Food Services FTE: 0.475FLSA STATUS: Non Exempt HOURS PER WEEK: 19.5WORK CALENDAR: 261 daysCOMPENSATION: Classified Non Exempt Compensation Guide (Starting at $19.80/hour)Essential Duties And ResponsibilitiesAssist the assigned department and administrator with administrative and operational supportResponsible for ordering all department supplies and equipment, using proper coding and adhering to purchasing practicesInputs and processes e-PAR (electronic personnel action requests) documentation and timesheets through payroll utilizing human resource compensation policiesWorks with the finance department to pay invoices.Assists in a variety of analytical and statistical reports for Arizona Department of EducationTo include various bookkeeping and accounting dutiesMust have strong human relations skills to work with administration, staff, parents and studentsMust possess excellent clerical, math, and organizational skillsMust have proficient computer skills in Microsoft Word, Excel, and the ability to learn information system software programs efficiently Must have ability to use or to learn to use purchasing/accounting/inventory softwareShould be familiar with standard accounting practices and procedures; including familiarity with account codes according to the U.S.F.R. (Uniform System of Financial Records).Must become familiar with District PoliciesAssists in coordinating, organizing and preparing various events as needed for the department Must demonstrate an ability to work cooperatively with internal staff and the publicMaintain confidentiality of information regarding students, staff, parents, and school issuesProvide a welcoming atmosphere for students, staff, parents and the communityPerform responsibilities in an ethical and professional mannerMaintain punctual and regular attendancePerform other related duties as assignedKnowledge, Skills And Abilities RequiredTo perform the job successfully, an individual must be able to perform each essential duty satisfactorily. Must have and maintain a valid IVP Arizona Fingerprint Clearance CardExperience Must possess one to two year's clerical and accounting experience Clerical experience and knowledge of general office practices and procedures Must possess a loyalty to the school district and its philosophy. Must possess an ability to deal effectively with matters of confidentiality. Must possess a pleasant personality and telephone manner. Must be organized and able to work independently.
