Project Administrator/Coordinator
We appreciate your interest in Mackenzie! We have an immediate opening for Project Administrator/Coordinator based in our Portland office. Applicants shall have 1 to 5 years of experience in the Architecture/Engineering/Construction administration field. This position will prioritize and effectively manage responsibilities from multiple supervisors for multiple accounts and individual projects.
Key Responsibilities
Reports to Project Principals and Project Manager(s) under the supervision of Project Management Director as an integrated member of project teams.
Work effectively with team project managers to facilitate efficient and timely project delivery.
Maintains a positive and collaborative working relationship with PM's, design team, and the Accounting Group in performing project support duties.
Coordinates and assists PM's with project administrative tasks including, but not limited to the following:
Contracts
Contract tracking - ensuring timely completion of contracts, as directed by supervisor
Accounting
Preview and verify all consultant invoices, follow up and ensure correctness.
Review consultant invoices with PM.
Provide back-up for billings to client as required.
Collections - track with owners, follow up for timely collections.
Project Administration
Assist with project start-ups and close-outs including drafting scope proposals and contracts.
Coordinate and participate in project meetings and identify potential action items.
Write meeting minutes for review by design leads attending meeting.
Assists with project specific milestone schedule development with PM(s).
Maintain project schedule, including milestones and team meetings.
Maintain project records in Vantagepoint.
Qualifications
BA/BS degree or equivalent experience
Expertise with Microsoft Excel, Word, Project, Bluebeam, and PowerPoint software programs
General accounting knowledge
Strength in writing and organizational skills
Strength in listening and interpersonal communication.
Ability to work independently, to manage routine tasks and responsibilities with minimum direction, effectively implement broad based direction/strategy to achieve results and to move initiatives forward and achieve set objectives and results with broad direction from Business Unit Leader and Project Leadership.
Ability to develop skills to anticipate project needs and interpret input from the team
Ability to provide quality control for project documents for formatting, proofreading, and conformance with Mackenzie standards
Salary Range: $35 to $40/hour
At Mackenzie, we work a hybrid office schedule; all staff work in-office Tuesday, Wednesday, and Thursday, with an option to work from home on Mondays and Fridays.
