Receptionist for Estate Planning Law Firm - Must love dogs!
Job Description
Are you a highly organized, detail-oriented, and personable individual who loves multitasking? Our small, boutique estate planning law firm is looking for a full-time Receptionist to be the welcoming face of our office. As the first point of contact for our firm, you will play a crucial role in welcoming clients, managing attorney appointments, and supporting our team with administrative tasks. If you are someone who thrives in a fast-paced environment, and can manage multiple tasks at once, we want to hear from you!Responsibilities:
- Greet clients and visitors with professionalism, warmth, and a positive attitude.
- Manage, screen and direct incoming calls, emails, and office correspondence.
- Schedule client appointments, book conference rooms and maintain busy calendars for multiple attorneys.
- Oversee client intake and set up process, including gathering necessary documents and information.
-Assist with administrative tasks such as data entry, document preparation, and manage distribution of incoming and outgoing mail and deliveries.
- Maintain office organization, including filing (digital and physical), copying, and scanning documents.
- Help with light office housekeeping and provide general office support to the Firm and assist with special projects as needed.
-Perform additional duties as assigned, including assisting with staff training and onboarding, and demonstrating flexibility to support the firm’s evolving operational needs.Requirements:
- This position is on site, Monday through Friday from 8:30am to 5pm.
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Previous experience in a legal office environment, particularly in estate planning or related areas, is preferred but not required.
- Excellent verbal and written communication skills with strong attention to detail.
- Punctual and dependable.
- Advanced organizational, time management and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Dropbox and Adobe.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Professional appearance and demeanor.
