Office Associate III The Office Associate III Talent Office provides high-level administrative and clerical support specifically to the Talent office. This role involves complex clerical duties requiring independent judgment, strong organizational skills, and a thorough understanding of department functions and school division operations. Essential duties and responsibilities include: Plans, initiates and carries to completion office support activities including but not limited to processing tuition reimbursement requests, submitting and maintaining all leaves, payroll, and personnel records, clerical records, and reports as assigned, coordinating special events, and onboarding new hires as assigned and within required time frames in order to ensure successful start of employment for new hires. Handles and resolves incoming requests, or directs them to the appropriate departments when necessary. Maintains assigned calendar(s) as required, formats and types confidential and general correspondence, reports, and statistical data. Greets customers in person or on the telephone; answering or referring inquiries within established Talent Department service level agreements. Maintains stakeholder confidence and protects operations by keeping information confidential under all circumstances allowable. Tabulates and prepares reports of financial data, and makes travel arrangements. Maintains office supplies and department resources by checking stock to determine inventory levels, anticipating needed supplies; placing and expediting orders, and reconciling invoices. Secures information by completing database backups. Provides historical reference by utilizing filing and retrieval systems. Establishes and maintains effective working relationships with personnel in other schools, offices, and governmental agencies. Assist with maintaining and contributing to updates for the department website. Collaborates with immediate team and department on special projects, events, and initiatives. Serves as a point of contact for internal and external stakeholders, responding to inquiries and providing information as needed. Effectively manages and maintains operations that support the overall function of the department as part of the overall departmental administrative support team. Assumes responsibility for own professional growth and development by keeping current with the literature and new research findings. Contributes to team efforts by accomplishing related tasks as needed or assigned Qualifications include: High school diploma or its equivalent, plus one year of office associate experience. Work experience in a school office or division central office required. Direct work experience in supporting a human resource/talent/people operations department is strongly preferred. Exceptional organization, customer service, and public relations skills required. Ability to multitask and prioritize in a fast-paced, often ambiguous environment. Ability to effectively communicate with and work cooperatively and collaboratively with co-workers, school staff, students, and the general public. General knowledge of business office procedures, practices, and equipment. Ability to perform basic mathematical calculations, excellence in business English, grammar, spelling, and punctuation. Ability to communicate clearly and concisely, both orally and in writing. Must be adaptable to changing priorities, can work independently, and ability to effectively complete multiple assignments simultaneously. Ability to exercise tact, good judgment, initiative, and maintain confidentiality. Considerable skills in operating a computer. Proficient in using Google, Microsoft Office, Word, and Excel software applications required. Strong knowledge of AI tools is highly preferred. Able to travel to/from various work locations to support department needs. General definition and conditions of work include performing clerical work in an office setting, requiring sitting, occasional walking, light lifting of office items up to 10 pounds, fingering, and repetitive motions.
