Inside Sales Assistant

POSITION PURPOSE
The Sales Assistant works closely with the Inside Sales Representatives in assisting in the process of order entry and the overall activities of the department to ensure that the goals are achieved and the needs of the customers are fulfilled. This position also provides general support functions for sales staff as required.
ESSENTIAL FUNCTIONS
Responsible for distributing sales documentation such as order acknowledgements, weekly highlights and industry reports
Answers overload telephone calls in support of the Inside Sales group. This includes addressing some simple customer queries such as order status, current delivery lead times, stock availability, etc.
Maintains customer order files and scans documents for the sales department
Maintains an up-to-date master database and mailing list
Executes reports and/or types correspondence including claims delinquency reports, sales revenue and tonnage tracking, inventory, order inquiry and others as needed
Assists in compiling claim information and claim entry
Maintains monthly internal usage orders
Maintains calendar / schedules of department members
Coordinates customer tours of mill, including organizing safety equipment, literature, tour approvals, lunches, tour guides, etc.
Assists with the organization of customer appreciation events, including coordinating invitations and responses, coordinate with golf course / hotels / venues, prepare nametags, menu, gifts, etc.
Develop skills to fill in for Inside Sales Representatives in periodic absences including order status communication, performing inventory searches and order entry
Maintain a schedule of customer plant closures for use by production planning and shipping
Maintain the commercial literature inventory and respond to general inquiries for promotions
Provides mailroom backup for facility as needed

QUALIFICATIONS
Competencies and Experience
Required:
Previous clerical experience
Good computer skills including Word and Excel
Ability to work in a team environment
Good verbal and written communication skills
Preferred:
Previous experience as an Administrative or Sales Assistant
Education
Required:
Associates degree in Business or related field

This position operates in an office environment. The role uses standard office equipment such as computers, phones, photocopiers, filing cabinets and scanners. This role is partially sedentary, sitting for several hours at desk. Additional activity of walking to/from and standing at alternative work areas (e.g. photocopiers, paper shredders, mailroom); alternate sitting and standing as needed. Filing and handling materials is required. This requires the use of hands to finger, hold, handle, reach with hands and arms and to lift and/or carry items up to 30 lbs

POSITION TYPE - WORK HOURS - TRAVEL REQUIREMENTS:
Position is full time, non-exempt, and is eligible for overtime
Position works an eight (8) hour day shift, Monday through Friday, occasional overtime may be required
Travel for this position is limited and expected to comprise less than 1% of work hours
