ASSISTANT SUPERVISOR VA

Assistant SupervisorVIA Visually Impaired Advancement is seeking a part time Assistant Supervisor to work 24 hours per week. This position is primarily responsible for assisting the Director in the provision of efficient operation and management of the Buffalo VA switchboard.Essential Functions:Maintain VA staff directories, switchboard resource databases, and emergency contact information; ensure accuracy and timely updates to support clinical operations and patient safety.Compile and manage medical staff on-call and after-hours schedules.Maintain and update hospital SOPs, policies, and procedures related to switchboard operations.Provide operational guidance to switchboard operators and communicate daily updates and operational changes.Serve as primary communication point of contact for VA leadership, managers, supervisors, and COR in the absence of the VA Director.Maintain emergency SOPs, including activation of hospital emergency codes, disaster notifications, and mass communication procedures in accordance with VA policy.Conduct quality assurance monitoring of switchboard operations to ensure service standards, accuracy, and responsiveness in accordance with VA policy and contract requirements.Monitor switchboard operations for compliance with VA policies, HIPAA privacy standards, and communication protocols; identify and address operational issues.Additional Responsibilities:Prepare and distribute daily announcements, schedules, and patient lists.Collaborate with clinical departments, emergency management, and administrative staff to support effective hospital-wide communication.Review and forward code logs weekly to the nursing departmentCompetencies:Proficient in the use of Microsoft Office Suite and possess strong technical skillsDemonstrates good judgement of situations and priorities that need to be brought to the Director's attentionDemonstrates ability to recognize the need for and implement process improvementDemonstrates ability to initiate and utilize technology to improve departmental performanceDemonstrates ability to accept and implement changeDemonstrate excellent internal and external customer serviceDemonstrate detail orientation in completion of dutiesComfortable communicating with individuals in crisis or experiencing high levels of stressMaintain confidentiality and professionalism in a fast paced environmentAbility to problem solve and effectively manage time in an environment where priorities consistently changeDemonstrate a commitment to ongoing learning and developmentApply agency standards in performance of position dutiesQualifications:One year of switchboard operation in a hospital setting or related experienceSix or more months of supervisory experienceHigh school diploma or equivalentVIA is an Affirmative Action/Equal Opportunity Employer.
