Position Summary
The Scheduling and Billing Sr. Specialist directs all client-facing work in a proactive and highly organized manner. This role creates processes to support the efficient utilization of technology platforms and tools used for scheduling work and constantly interface with Principals, Directors, Sr. Managers, and Managers to ensure these processes and tools are supporting efficiently and optimal utilization of our client-facing team’s time and maximizing their career progression.
Essential Functions
Important responsibilities and duties may include, but are not limited to, the following:
Proactively and objectively works with Service Line Leaders, Industry Group Leaders, Workflow Leaders, and People Leaders to ensure employees are deployed to maximize their professional development, ensure exceptional client service, and achieve/exceed firm utilization goals.
Coordinates all scheduling activities.
Oversees billing activities.
Monitors scheduled hours throughout the year to ensure a) appropriate balance of workloads across all staff and b) appropriate mix of projects and c) appropriate mix of manager oversight.
Monitors billable hours and engagement realization for proper use of capacity and timely completion of client projects. Formulates and makes recommendations to the Service Line Leaders and Industry Group Leaders for changes intended to enhance productivity and utilization.
Utilizing scheduling data and client lists, provides capacity information to the Service Line and Industry Group Leaders, and makes recommendations for client re-balancing and hiring needs.
Tracks project engagement and coordinates billing with the Billing Specialist including adjustments required as a result of staff utilization.
Troubleshoots reporting errors and processes inefficiencies. Coordinates with firm personnel as necessary to formulate and implement a response.
Utilizes strong and effective communication skills to coordinate and share work across groups and levels.
Ensures alignment of resources with the firm’s strategic plan.
Implements strategies to increase the firm’s capabilities, enhance specializations, and achieve business goals.
Generates reports and conclusions to support and enhance utilization, assist with planning, and other reports as needed.
Coordinates ad hoc analysis, research, and contingency planning for short-term issues.
Completes special projects and other duties as assigned to support the needs of the organization including technology testing and implementation, efficiency updates to current systems and processes.

Supervisory Responsibility
This position does not have direct reports, but may act as a buddy or mentor to other members of the team.
Qualifications
Education: Bachelor’s degree in business administration, or related field is required.
Experience: 10+ years prior project management experience, including scheduling of associate’s work, is required. Prior experience in a professional services firm is highly preferred.
