We’re seeking an experienced Operations Coordinator to provide hands-on administrative and operational support to senior leadership, while playing a key role in the day-to-day operations of one of the world’s most prestigious and high-performing global law firms in their Miami office.This is a highly visible position supporting multiple operational functions—including Facilities Services, Digital and Delivery Services, Food Services and Catering, Logistics, Supplies and Purchasing, Safety and Security, Guest Services, and Space Planning. You’ll collaborate across departments, streamline processes, and help maintain a professional, efficient, and welcoming office environment.Key Responsibilities:Drive Operational ExcellenceProvide guidance and support on mail-related requests and delivery logistics, leveraging technology to optimize workflow and turnaround timesUtilize Microsoft Office Suite, web-based applications, and digital production systems to support efficient, high-quality outputOversee General ServicesServe as subject-matter expert in digital imaging, document production, and mailroom operationsManage scanning, printing, binding, media duplication, and digital document processing while ensuring quality and confidentiality standardsSupport Safety & Emergency ProgramsAssist with physical security and emergency preparedness initiatives, including CPR/AED training, emergency drills, and building safety programsPartner with building management on safety-related initiativesFacilitate Property ManagementAct as liaison between internal Operations teams and property management to ensure timely response to building-related mattersDeliver Exceptional ServiceProvide high-level support to staff, visitors, and clientsCoordinate catering and vendor servicesMaintain a polished, service-oriented presenceContribute to Continuous ImprovementPrepare reports and statistical dataStay informed on facilities and operations trendsParticipate in professional development opportunitiesQualifications:Bachelor’s degree preferred; equivalent experience consideredProficient experience in operations or facilities managementDigital Services is a key requirement - (experience using equipment, trial binders, making the exhibits that are being brought to court)Proven ability to manage requests efficiently in a fast-paced, professional environmentExperience developing and implementing operational proceduresStrong interpersonal and communication skills with the ability to build relationships across all levelsAdvanced proficiency in Microsoft Windows and Office Suite (PowerPoint, Excel, Word, OneNote, SharePoint)Ability to manage multiple priorities under tight deadlines with strong attention to detailCompensation & Benefits:We offer competitive compensation along with a comprehensive benefits package, including healthcare coverage, paid time off, retirement plans, and tailored learning and development opportunities designed to support your growth both personally and professionally.
