Administrative ReceptionistPerforms administrative duties and advanced level receptionist duties within the agency. Answers phones, greets visitors/staff coming to area, and performs general office duties related to same. Completes routine assignments and/or special assignments on a daily basis.Essential Functions and ResponsibilitiesPerform program opening/closing responsibilities as pertains to assigned area, to include securing confidential itemsTypes correspondence, memoranda, reports, copies and distributes information as directed, including mass mailings or internal communication; utilizes various word processing, data bases, spreadsheets when required; has operating knowledge of advance copy machines, fax, shredders, and other appropriate office equipment. Assists Client Advocate and Director of Prevention and Clinical Services when applicableEnsures adherence to documentation process for prescribed word processing proceduresAs designated, coordinates and manages agency forms, materials, and printing requests; receives bids for printing jobs or special projects, and checks for quality, quantity, cost accuracy and efficiency; and maintains agency forms reference manualAnswers telephone, screen calls, routes calls and visitors, takes precise messages, etc., disseminates information when appropriate or refers to higher authority if requiredCollects first contact data over telephone for HIV/AIDS programs, either directly from the client or from the referral source and enters data into the computer; completes data entry process of OMHIS informationSets appointment date with the client for some intakes; on some cases, consults with Supervisor and/or Clinical Supervisor first, or gives the referral information to the appropriate Program Director for follow-upDirects clients, visitors and staff to program area and assists them with their particular needsCoordinates meetings, schedules, appointments (clients or staff), notifies participants, makes room arrangements, prepares materials, and provides clerical support by writing, preparing, and distributing minutes, etcMaintains constant awareness of newly-implemented program changes/revisions for all Red Rock service programs (i.e. criteria for acceptance into programs, funding source criteria, current openings and waiting lists, new staff assignments and cases assigned to staff after disposition)Maintains core competencies in relation to working with co-occurring disorders through continuing education and implementing skills into all aspects of treatmentAttends staff meetings, workshops, and seminars to learn agency policy, rules, regulations, and procedures; participates in ongoing in-service training as well as pertinent external trainingAssists in the development and implementation of programmatic goals and objectivesSupports and assists with the facilitation of Care Plans for consumers within the Red Rock Health TeamPerforms other duties as requiredQualificationsHigh School Diploma or equivalent with specialized vocational-technical or business training, relevant Bachelor's Degree preferredTwo years administrative experience with heavy public contactExcellent interpersonal and communication skillsAbility to prioritize work and perform under pressure and to think quickly in unusual/stressful situationsExperience working with community servicesAbility to maintain effective working relationships with clients, other staff and the communityComfortable with mental health crisis preferredPrevious experience in medical environment preferredMust be proficient with technologyPhysical RequirementsMust have the ability to stand or sit for long periods of timeMust have the ability to lift, push, or pull a minimum of 25 poundsAbility to travel approximately 10% of the timeAbility to use telephone, PC, fax machine, copy machine, and printerBenefitsWe pay a generous portion of your Health InsuranceLow-cost Dental and Vision InsuranceRetirement Plan with employer contributions equal to 5% of annual salaryStudent Loan Repayment OptionsNo Cost Employee Assistance Plan3 Weeks Paid Time-Off (increases annually between years 2-10)9 Paid Holidays1 Floating Holiday to use at your discretion.4 Rest and Relaxation Days3 days of Education Leave4 hours of Volunteer LeaveEligible for Pay Increases and Bonuses AnnuallyEmployer Paid Long-Term Disability and Life InsuranceEqual Opportunity Employer/Protected Veterans/Individuals with DisabilitiesRed Rock Behavioral Health Services does not discriminate based on race, color, national origin, religion, gender, gender identity, age, marital/familial status, sexual orientation, or disability.
