Job Description: Operations Manager supports the daily operational, financial, and human resources functions of NEMPAC, ensuring that systems, facilities, and administration supports the school’s mission and growth. This is an opportunity to join the leadership team at the NEMPAC organization and support its future growth and development as a leading community arts organization in Boston. This role, which reports to and works collaboratively with the Executive Director, supports day-to-day business operations, and trains cross collaboratively with the Education Team and Student Registration CRM, manages core administrative processes, and fosters an inclusive, efficient, and creative work environment. A people-centered, systems-oriented professional who balances financial oversight, operational logistics, and human support in a dynamic, arts-based nonprofit. This position is hybrid with four days in-person in our headquarters in the North End, and 1 remote day option. What Success Looks Like in this Role: All internal personnel are properly and accurately onboarded, hired, and supported throughout their employment and/or contract work with NEMPAC Accurate, timely KPIs and reports reflecting enrollment, program impact, and organizational growth. “Front of House” operations are properly staff in North End and Charlestown headquarter buildings at 50 Tileston Street and Charlestown Working Theater Facilities and equipment are consistently maintained and functional to support the mission to deliver high-quality arts programming. Bi-weekly payroll is processed and run efficiently and accurately Our “Band of Volunteer” community feels supported, included and informed of opportunities and ways to help NEMPAC Recommends internal processes and policy revisions to support more efficient and streamlined operating practices. All contracts, leases, and vendor agreements reviewed, renewed, and maintained proactively. Support sustainability of outreach activities by cultivating relationships with school partners and community collaborations. Expectations and Accountability: Human Resources: Complete and execute onboarding and off boarding for all staff and faculty (8-10 staff, and 45-50 faculty) per existing policy & procedure: Onboard faculty through ASAP Connected (registration Software) and isolved (HR/payroll system) Onboard staff through iSolved and enroll in benefits as they apply Oversee 401K benefits 360’ integration with iSolved (HR/payroll system) and is primary contact for benefits administration Support faculty and staff retention, engagement, and professional development planning in collaboration with other departments Work with the Executive Director annually to maintain and update HR policies, contract templates, handbooks, ensuring alignment with organizational values and compliance. Participate on diversity, equity, inclusion and belonging (DEIB) committee to help advance goals of the organization through operating practices Manage and execute contracts with vendors, schools, community partners, and facilities as needed Serve as a resource for HR-related questions, workplace well-being, and conflict resolution Manages NEMPAC partnership with SuccessLink, City of Boston Office of Youth Development for summer internship program and supports intern onboarding and grant compliance Manages NEMPAC Band of Volunteers, sending monthly newsletters with opportunities, tracking volunteer efforts, and coordinating quarterly touch-points. Finance & Administration: Executes bi-weekly payroll for all faculty and staff with support from finance assistant Oversees execution of weekly bank deposits done by finance assistant Open, sorts, and distributes daily mail Participate in organization management decision-making and problem-solving regarding day-to-day operations Oversight of bookkeeping team, databases, relationships with contractors (legal, accounting, insurance, etc) Sends bills / accounts payable for processing to finance assistant as needed, oversight of accounts receivable for partners, vendors, outstanding donations/pledges, and aging student accounts. Participate on Finance Committee to monitor budgets, forecast financials, and provide timely, accurate reports Oversee and monitor facilities coordinator, and performs regular facilities checks in ‘in house’ locations ensuring building maintenance policy is adhered to Works closely with Education Team on scheduling of instructional spaces and facilities for programming and/or event use Partner and participate in annual fundraiser event execution and planning to support technology needs or systems for donations/payments Serve as primary administrator for organizational systems, including ASAP Connected (CRM) and other technology platforms, ensuring data integrity and staff training Manages the “front of house” calendar to ensure front desk is staffed during peak operating hours in the North End and Charlestown Cross-Department Collaboration & Leadership Coordinate with Education, Development, and Creative teams to align operations, finance, and facilities with programming goals Maintain organizational calendars, internal reporting, and logistics for board and staff meetings. Support grant reporting by providing accurate operational and financial documentation. Qualifications: 2 - 3+ years of related technology and administration experience Exceptional organizational skills and the ability to work both independently and collaboratively CRM expertise and problem-solving abilities Demonstrated customer service experience Excellent web, data, and computer skills including Google and Microsoft Office products Strong attention to detail with the ability to consistently follow detailed instructions Strong written and verbal communication skills Comfortable greeting and interacting with our students, families, and constituents Ability to work occasional nights and weekends to support events and site operations Personal qualities: positive attitude, ambition, creativity, willingness to learn, and passion for making a difference This is a full-time position salaried between $60,000 to $65,000 commensurate with experience.
