divh2Staffing Support/h2pOur client, a Material Engineering company, is looking for a Staffing Support for their Austin, TX location./ph3Responsibilities:/h3ulliInterview Scheduling (Primary Function)/liliManage all aspects of interview scheduling, including phone screens, virtual interviews, onsite visits, panel interviews, and loop sessions./liliCoordinate calendars across multiple time zones, departments, and levels of leadership./liliSend polished, accurate calendar invitations that include meeting links, instructions, agendas, and logistical details./liliMonitor and respond promptly to scheduling requests throughout the day./liliSupport urgent changes, last minute reschedules, and interviewer substitutions with professionalism and speed./liliLogistics Candidate Support/liliReserve conference rooms and ensure day of readiness for onsite interviews./liliProvide clear directions, arrival instructions, and access information to candidates./liliTroubleshoot basic technical or access issues to ensure candidates have smooth experience./liliMaintain the highest level of confidentiality when handling candidate and employee data./liliSystems Documentation/liliMaintain accurate scheduling notes and updates in the Internal System and Shared Services workflow trackers./liliPartner with recruiters and hiring teams to ensure alignment of interview timing, expectations, and needs./liliTrack scheduling activity to ensure timely completion and service delivery consistency./li/ulh3Requirements:/h3ulli13 years of experience in high volume scheduling, administrative coordination, or calendar management./liliStrong attention to detail, accuracy, and organizational skills./liliExcellent written and verbal communication skills./liliProficiency with Outlook, Teams or similar scheduling and meeting platforms./liliA customer focused mindset with the ability to handle sensitive or confidential information./li/ulh3Preferred Qualifications:/h3ulliExperience in HR, recruiting coordination, or a Shared Services environment./liliFamiliarity with ATS platforms such as Workday, or Eightfold./liliExperience scheduling across multiple time zones or supporting fast moving, high volume teams./liliOperational Precision: Produces accurate work consistently in a deadline driven environment./liliResponsiveness: Maintains timely communication and quick turnaround on scheduling requests./liliService Excellence: Creates positive, supportive experience for candidates and internal partners./liliAdaptability: Handles frequent changes with calmness and efficiency./liliTeam Collaboration: Works closely with recruiters and hiring teams to ensure smooth interview execution./liliConfidentiality: Upholds strict privacy standards for sensitive information./li/ulh3Why Should You Apply?/h3ulliHealth Benefits/liliReferral Program/liliExcellent growth and advancement opportunities/li/ulpICONMA is an Equal Opportunity Employer.
