DaMar Staffing Solutions of Indianapolis ("DaMar") is a premier boutique recruitment firm offering full-service contingency base solutions for administrative and professional level staffing for all industries. The Administrative Assistant is responsible for a variety of skilled administrative and clerical support work to support the office. Responsibilities include but are not limited to:
Greeting visitors, answering phones, returning calls, arranging appointments, preparing meeting minutes, copying, mail responsibilities, managing management schedules as needed
Data entry responsibilities including inputting candidate and client information into the CRM system
Confirming candidate interviews daily and updating internal tracking sheet of candidate status (i.e. interview, NCNS, reschedule)
Coding and filing candidate files that are considered "dead files"; record keeping
Completing candidate references checks; setting up candidate assessments and updating in the system as needed
Calling and completing candidate, employee, client update calls to ensure we have the right contact information and to have up-to-date status information, problem solve as needed
Helping decorate the office for special events, assisting with planning of employee appreciation events, hand writing thank you notes to clients and candidates; assisting with social media responsibilities
Assisting with scheduling quarterly or annual client reviews
Actively participating in networking groups and other business and community programs to increase skill knowledge
Assisting with special projects as assigned
Candidate Scheduling includes:
Contacting and responding to candidates according to recruiter needs, asking questions necessary to pre-qualify candidates and schedule candidates for face2face interview in the office
As needed duties: reviewing resumes, completing various screening efforts and go over first day logistics with temporaries, etc.
Requirements:
Bachelors Degree preferred but not required
1 to 3 years of experience in customer service
Proficient with Microsoft Office Suite, Internet and Email
Must be energetic, detail-oriented, organized, highly motivated and self-directed individual with ability to prioritize and work efficiently in a dynamic, fast-paced environment
Excellent communication, troubleshooting and negotiating skills; including ability to cold call, make in-person sales calls and presentations
Starting salary up to $30k plus performance incentives; M-F 8:30 am to 5:30pm; additional hours may be required in order to successfully do job
