We prioritize thoughtful clinician matching, exceptional patient experience, and collaborative care to support meaningful, long-term outcomes for our patients. About the Role We are seeking a compassionate, highly organized, and personable Clinical Coordinator to join our growing team. This is a patient-facing role focused heavily on intake coordination, patient communication, scheduling logistics, and delivering a thoughtful, high-touch experience from a patient’s very first interaction with the practice. We are seeking candidates with prior professional experience and strong interpersonal skills. This position is most suited to Mental Health Counselors looking to rapidly gain hours towards  licensure although we are open to exceptional candidates who would like to work in the mental health field prior to further training. It is common for mental health counsellors to eventually  join the clinical team.As part of a collaborative team of Clinical Coordinators, you will work closely with patients, clinicians, and external providers to ensure a seamless care experience while supporting the operational flow of the practice. This role is ideal for someone who is interested in mental health, enjoys building relationships, thrives in fast-paced environments, and values both organization and human connection. Many individuals in this role have backgrounds in psychology, therapy, healthcare or are interested in pursuing careers in therapy or mental health-related fields. Key Responsibilities Serve as a primary point of contact for prospective patients, providing a warm, professional, and supportive experience Conduct intake and screening calls with prospective patients to understand clinical background, presenting concerns, and scheduling needs Match patients with clinicians whose expertise and treatment style best align with their needs and preferences Coordinate referrals and communicate with external providers to support continuity and quality of care Maintain accurate, timely, and confidential patient records in compliance with HIPAA guidelines Collaborate closely with clinicians and administrative staff to optimize scheduling and patient flow Facilitate communication between patients, clinicians, and outside providers to ensure a smooth care experience Educate prospective patients on the practice model, including out-of-network billing and reimbursement processes Track scheduling trends, patient coordination metrics, and operational insights using internal systems and CRM tools Utilize platforms including Valant (EHR), CRM systems, Google Workspace, and Zoom to manage patient communication and workflow efficiently Support day-to-day operational coordination while maintaining a high level of attention to detail and responsiveness Qualifications Mental Health Counselling degree preferred but not requiredExceptional organizational and multitasking skills with the ability to manage a high volume of patient coordination Strong interpersonal and communication skills with a patient-centered approach Highly personable, professional, and comfortable communicating with patients over phone, email, and video platforms Ability to handle sensitive information with discretion, professionalism, and confidentiality Experience in healthcare, behavioral health, patient coordination, customer experience, or a related field preferred Familiarity with electronic health record (EHR) systems and CRM platforms preferred Experience with Valant, Google Workspace, and Zoom is a plus Interest in psychology, mental health, or healthcare strongly encouraged Compensation & Benefits Competitive annual salary of $67,300 Health, dental, and vision insurance Life insurance 401(k) plan Paid time off and paid sick leave Company-paid holidays All worked hours in position of clinical coordinator count towards licensing requirements for LMHC’s
