Office Assistant
Job Overview
We are seeking a highly organized and professional Office Assistant to support our daily operations. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. Prior experience in office management, clerical tasks, or related fields is highly valued. Bilingual skills are a plus to assist diverse client needs. Duties
Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professional phone etiquette
Perform data entry, filing, and proofreading to ensure accurate record-keeping and document management
Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and organization
Schedule appointments and calendar management for staff and clients using various digital tools
Assist with bookkeeping tasks using QuickBooks or similar accounting software
Provide customer support via phone, email, or in person, ensuring excellent customer service standards
Support office management tasks such as supply inventory, mail distribution, and general administrative duties
Maintain organized files both digitally and physically to ensure quick retrieval of information
Support personal assistant functions as needed, including travel arrangements or special project coordination
Experience
Previous office experience or clerical experience preferred; familiarity with administrative tasks is essential
Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
Experience with QuickBooks or bookkeeping software is a plus
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent typing skills and attention to detail for proofreading and data entry tasks
Customer service experience demonstrating professionalism and effective communication skills
Bilingual abilities are advantageous to serve diverse client needs effectively
Knowledge of medical or dental receptionist duties, including calendar management and patient support, is beneficial but not required
