This role serves as the first point of contact for internal and external stakeholders, ensuring a seamless and professional experience. All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards./ph4Customer Service Front Office Leadership/h4ulliServe as the front-facing representative of the school, greeting students, faculty, staff, and external visitors (e.g., vendors, publishers, college officials)./liliProvide responsive, solutions-oriented service that supports student and stakeholder success./liliMonitor the Schools shared email inbox and respond or route inquiries appropriately./liliHandle incoming calls and direct them to the correct personnel./li/ulh4Administrative Operations Office Coordination/h4ulliProvide sole administrative support to the School and assist the Dean with day-to-day functions./liliCoordinate the Deans calendar and scheduling of meetings./liliTrack office cycles and proactively complete routine tasks to ensure continuity./liliManage event planning logistics including room reservations, IT/facilities tickets, catering, and speaker coordination./liliSupport onboarding, office transitions, and space coordination for faculty and staff./liliOversee class cancellations and communicate updates via signage or electronic methods./liliDelegate and supervise tasks assigned to student workers./li/ulh4Purchasing Budget Monitoring/h4ulliSubmit orders for school materials and coordinate with new vendors to complete onboarding paperwork./liliTrack School budget activity, including Perkins funding requests, and support fiscal accountability./li/ulh4Data Management Reporting/h4ulliMaintain records, meeting minutes, correspondence, and divisional data./liliAccess and generate reports using systems such as Banner, Tableau, and Microsoft Office Suite./liliTrack departmental assets./li/ulh4Communications Content Development/h4ulliDraft, proofread, and format emails, internal communications, and marketing materials./liliCreate event flyers and visual communications using tools such as Canva or Publisher./liliDisseminate timely updates and reminders to faculty regarding key activities (e.g., loading sheets, office hours)./liliMaintain discretion and confidentiality with sensitive information./li/ulh4Meeting Event Coordination/h4ulliSchedule, attend, and take minutes at school and department meetings./liliManage follow-up actions and ensure timely communication of updates./liliPlan and support school events such as Deans List receptions and faculty retreats./li/ulh3Education and Experiences/h3ulliBachelors degree with 13 years of relevant experience OR/liliAssociate degree or related industry certification plus 34 years of relevant experience./liliAbility to work independently and manage complex scheduling and administrative tasks./liliStrong verbal and written communication, organizational, and interpersonal skills./liliHigh degree of computer literacy and comfort with learning new systems./liliAbility to lift/move up to 30 lbs and maneuver within an office setting./li/ulh3Preferred Qualifications/h3ulliExperience working in a higher education or academic environment./liliProficiency in creating materials using Canva, Publisher, or similar platforms./li/ulpMust demonstrate ability to promote an environment that reflects the broad backgrounds represented by our students and employees, and in which every individual feels respected and valued./ph3Ivy Tech Benefits/h3pIvy Tech is committed to supporting the well-being, growth, and financial security of our full-time faculty and staff.
