Executive Assistant Location: New JerseyEmployment Type: Full-timePosition SummaryCYIENT is seeking an experienced Executive Assistant to provide comprehensive administrative, operational, and strategic support to our executive leadership. The ideal candidate is highly organized, proactive, exercises sound judgment, and thrives representing leadership in a fast-paced professional environment.Key ResponsibilitiesAdministrative SupportManage calendars, schedules, and appointmentsCoordinate meetings, conferences, and eventsHandle phone calls, email, and executive correspondencePrepare agendas, presentations, reports, and documentsTake meeting minutes and track follow-up actionsOrganize and maintain electronic and physical filing systemsCommunication & Stakeholder ManagementServe as the primary point of contact between the executive and internal/external stakeholdersScreen and prioritize communications to ensure timely responsesDraft professional emails, memos, and letters on behalf of the executiveCoordinate with staff, clients, vendors, and partnersTravel & LogisticsArrange domestic and international travel (flights, hotels, visas, itineraries)Prepare travel briefs and manage expense reports and reimbursementsProvide logistical support for virtual and in-person meetingsProject & Strategic SupportSupport special projects and administrative initiativesCoordinate cross-departmental tasks and follow up on action itemsConduct research, data analysis, and market or competitive reviewsAssist with business reports, presentations, and expense trackingSupport office operations and process improvementsConfidentiality & Professional JudgmentHandle sensitive and confidential information with discretionExercise sound judgment when representing the executiveAnticipate executive needs and proactively resolve issuesQualificationsRequired5+ years of experience supporting senior executives (Director, VP, or C-suite)Demonstrated discretion handling highly confidential informationProficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google WorkspaceExcellent written and verbal communication skillsProven ability to manage multiple competing priorities and deadlinesExperience coordinating international travel and complex multi-leg itinerariesStrong proficiency with virtual meeting platforms (Zoom, Teams, Webex)PreferredBachelor's degreeExperience with CRM platforms and document management systemsPrior experience in [aerospace / engineering / technology / financial services / etc.]Notary public or related certificationsBenefits[Medical, dental, vision insurance][401(k) with company match][Paid time off and holidays][Professional development / tuition reimbursement]
