Payroll Specialist

The Payroll Specialist will ensure complete and accurate processing of bi-weekly payrolls, by performing administrative and bookkeeping tasks and applying accepted payroll procedures in preparing and maintaining payroll records..ResponsibilitiesMaintain accurate payroll records and ensure accurate compensation payments due to all employees, net of authorized withholdings and deductionsMaintain employee master records and directories captured in payroll system in a highly confidential and accurate mannerProcess Payrolls through third-party providerPrepare journal entries to accrue and report proper employee payroll costsPrepare ad hoc reporting to satisfy requests for payroll data using payroll system report writersOversee the quarterly and annual Payroll tax returns and compliance reporting, including accurate W-2 reportingReview timecard reporting submitted by employees and supervisors for completeness and appropriateness of entriesMaintain automated PTO records for all employeesPrepare and submit various deductions, such as retirement contributions, mass transit, FSA elections, and garnishments, to appropriate agencies according to schedulesReconcile multiple Balance Sheet and P&L accounts related to Payroll transactionsPrepare and provide reports and analysis to auditors during annual financial statement audit and 403b auditTrain new hires and colleagues on appropriate timecard proceduresParticipate in projects relating to PayrollAuthor and maintain process and procedure documentation for key functionsAssist the HR department with the maintenance of company policies to ensure compliance with applicable state and federal lawsProvide coverage within the Finance department as neededOther duties as assignedQualifications2-year Degree in Business field plus 2 years of relevant Payroll experience OR 4 year degree in BusinessKnowledge of basic bookkeeping and financial transactionsFamiliarity with ADP preferredAbove-average MS Excel skillsAbility to work in a fast-paced environment while multitasking and maintaining accuracyAttention to detail and organizational abilitiesAbility to work under pressure of meeting multiple time and volume deadlinesDemonstrated problem solving skillsProven performance in a team environmentAbility to communicate effectively with colleagues and external partiesReliability and strong work ethicAbility to exercise good judgmentRelies on instructions and pre-established guidelines to perform tasksWorks under general supervisionCertain degree of creativity and latitude is requiredMore about American Management Association:AMA's approach to improving performance combines experiential learning—learning through doing—with opportunities for ongoing professional growth at every step of one's career journey.
