Legal Mail Assistant
A growing, nationally recognized legal administration firm in downtown Seattle is looking for a dedicated, detail-oriented, and professional Mail Specialist to join their mailroom operations team. This is a full-time, temp-to-hire opportunity supporting complex outbound mailing projects in a fast-paced office environment. Outside of a few experience requirements, they do train from the ground up, and a well-rounded, soft-skills-and-culture-fit personality is key. Candidates who will do well in this role are detail-oriented, strong communicators with a production mindset and a positive attitude. Skills and traits such as adaptability, critical thinking and problem solving, teamwork, and dependability are necessary.Compensation: $23/hrAvailability: Hours: 8:30 AM-5:00 PMPrimary ResponsibilitiesHigh-level handling of complex outbound mailingsMonitor shared Outlook inbox and self-assign outbound mailing projects based on prioritization from supervisorCorrespond with Operations teams regarding mailing details and statusReview each document file before printing, looking for anything problematicCombine or crop documents using Nitro, with supervisor approval, as neededExpert-level printing to various types of printers based on document typeClear printer jams and load paperSet up and run folder/inserter machines, with troubleshooting and adjustments, as neededQuality review of outbound mailings, per written proceduresSet up and run postage meterProvide overnight shipping cost estimatesCreate shipping labels using online programsCreate and print CD labels, burn CD copiesUpdate tracking spreadsheetsWalk to nearby post office, FedEx, office across the street, and curbside for pickups and drop offsWork closely with management to coordinate coverage and handling of mailing projects when Supervisor is not in the officeMay require extended periods of standing or sittingFrequent lifting of 20 pounds, occasional lifting up to 50 pounds (with assistance, if needed)Strict compliance with data privacy and security policiesOther tasks as assignedSort and prep incoming mail for scanning, following unique and complex written proceduresSet up and run letter opener machineOperate high speed scanners and hand scannersUpload documentsData entryClaims processingDatabase researchFilingRequired Skills/QualificationsIntermediate level Excel, Word, OutlookExcellent written communicationStrict adherence to detailed written and verbal instructionsExperience with office equipmentDetail oriented, quality focused, production mindsetDesired Skills/QualificationsFamiliarity with Teams, Nitro ProShipping/mailing experienceFamiliarity with mailing equipmentProduction printing experienceExperience navigating databasesCampusPoint is an Equal Opportunity Employer.
