Administrative Assistant
OverviewWe are seeking an experienced Executive Assistant with legal experience to support senior‐level executives in a highly confidential, fast‐paced environment. This is a fully remote role for candidates local to the Bay Area, with the possibility of going on‐site if needed. The assignment is expected to last 2–3 months, with the potential to remain open longer.Key ResponsibilitiesOpen and maintain legal cases in TEAM CONNECT with a high level of accuracyManage multiple Outlook calendars for senior leaders, including meeting coordination and scheduling adjustmentsProvide administrative support to executive leadership, including SVP‐, President‐, and CEO‐level staffPrepare and organize legal and administrative documents using Microsoft Office toolsCoordinate meetings, travel arrangements, and conference logistics as neededScreen calls, manage email correspondence, and handle sensitive and confidential informationUtilize Microsoft Teams and other collaboration tools for daily communicationSupport document management and case tracking within a legal or corporate environmentPerform internet research and prepare reports or presentations as requestedAssist with general administrative tasks and collaborate with internal teams as neededQualificationsMinimum of 2 years of administrative experience in a law firm or in‐house legal environmentBasic legal knowledge, including understanding of plaintiff and defendant rolesStrong proficiency with Microsoft Outlook, especially advanced calendar managementExperience with case management and document management systems (TEAM CONNECT experience a plus)Advanced skills in Microsoft Word, Excel, PowerPoint, and TeamsHigh attention to detail and accuracy, especially when opening and maintaining casesAbility to handle highly confidential information with discretionStrong organizational, communication, and time‐management skillsComfortable supporting senior executives in large, complex organizationsWork DetailsFully remote roleMust be local to the Bay Area for occasional on‐site mail support (infrequent, rotating)Contract duration approximately 2–3 months, with potential extension
