Job Title: Operations CoordinatorOrganization: Fusion VolleyballHour Full Time Rate: $25 - $32 per hour with additional income opportunities availableWork Hours: 30-40 hours a weekReports To: Executive DirectorPosition Summary:Fusion Volleyball Club is seeking a detail-oriented and highly organized Operations Coordinator to support the day-to-day logistics and administrative functions of the club. This role is responsible for ensuring that all programs, events, and communications run efficiently behind the scenes.The Operations Coordinator works closely with the Executive Director and program leadership to maintain structure across scheduling, registration, communication, and facility coordination—allowing coaches and program staff to focus on athlete development and on-court performance. This role operates with the understanding that volleyball programming priorities drive decision-making, while ensuring those priorities are executed in a structured and sustainable way.Key Responsibilities:Program Operations & LogisticsBuild and maintain master schedules for teams, practices, camps, and events based on program prioritiesCoordinate facility usage and court assignments to best support training and competition needsTranslate volleyball programming decisions into clear, executable schedules and plansEnsure all logistical elements of programs are organized, communicated, and delivered in advanceSupport tryouts, evaluations, and team formation logisticsRegistration & Systems ManagementManage registration platforms, participant data, and roster accuracyTrack payments, waivers, and required documentation in coordination with leadershipMaintain clean, accurate records across all programsIdentify and improve operational systems to increase efficiency and reduce frictionManage our SportsRecruits systemCommunication & Family SupportServe as a primary point of contact for families regarding schedules, logistics, and general inquiriesDistribute timely, accurate, and consistent program communicationsSupport resolution of scheduling conflicts and logistical challengesEnsure clarity and professionalism in all club messagingEvent & Game Day OperationsRepresent Fusion Volleyball Club in a professional and welcoming manner to families and the communityCoordinate logistics for tournaments, camps, and club eventsSupport setup, breakdown, and operational flow of eventsAct as tertiary support to ensure staff, equipment, and materials are prepared and aligned with program needsTroubleshoot real-time issues while maintaining program continuityAdministrative SupportAssist the Executive Director with reporting, documentation, and operational planningMaintain inventory of equipment, uniforms, and suppliesSupport implementation of club policies and proceduresCollaborate with the Director of Community and Sport and Program Coordinators to align logistics with evolving program needsTeam Coaching & Athlete DevelopmentServe as Head or Assistant Coach for a boys club team and a girls club teamPlan and lead structured, high-quality practices aligned with club training standardsDevelop athletes' technical, tactical, and mental aspects of the gameManage team communication, expectations, and culture throughout the seasonCoach at tournaments and competitions, including travel as requiredDecision-Making & Alignment:Volleyball programming (training, teams, athlete development) sets the priority for scheduling and resource allocationThe Operations Coordinator is responsible for assisting in planning those priorities efficiently and proactivelySuccess in this role requires anticipating needs, minimizing last-minute changes, and creating systems that support both flexibility and structure, while being flexible to assist the program coordinator to manage live problems and issues.
