Qualifications Education/Certification: High school diploma, college preferred Advanced secretarial and computer training, preferred Special Knowledge/Skills: Knowledge of computer and software applications Knowledge of accounting principles and practices Ability to use calculator (10-key by touch) Proficient skills in typing, keyboarding, and file maintenance Excellent organizational, communication, and interpersonal skills Experience Two to three years in secretary position, preferably in an educational environment Major Responsibilities and Duties Prepare and make cash deposits for activity account(s). Responsible for the maintenance of activity checkbook(s) and the balancing of banking account(s). Perform routine bookkeeping tasks to maintain campus budget records. Responsible for data entry into system to manage campus budgets. Prepare transfers as needed and directed. Assist with the campus budget preparation. Prepare and process purchase orders and F16s. Receive, store, and issue supplies and equipment. Monitor Substitute Employment Management System (SEMS) and assure classrooms are covered. Maintain a daily teacher attendance through the SEMS and prepare and process leave requests and reports. Monitor and process personnel time records including leave requests. Compile information and submit to central office according to established deadlines. Pickup and deliver checks if assigned Prepare and submit maintenance work orders for campus as needed. Maintain physical and computerized files, which could include student records, personnel records, mailing lists, volunteer, and visitor logs, and office communication Prepare forms, schedules, or reports, including worker's compensation, using personal computer or typewriter. Assist with maintenance of school calendar, coordination of faculty meetings, and campus activities. Assist with the preparation and updating of handbooks, policy manuals, and other documents as assigned. Screen incoming calls for administrative staff, take reliable messages, and route to appropriate staff Assist students, teachers, and parents as needed Maintain confidentiality. Perform other duties as assigned. Supervisory Responsibilities None Equipment used Macintosh and Dell computers, updated software, typewriter, printer, calculator, copier, shredder, and fax machine. Working Conditions Mental Demands/Physical Demands/Environmental Factors: Maintain emotional control under stress, hectic pace, and work with frequent interruptions. Repetitive hand motions; prolonged use of computer. Working in office environment and with diverse community groups.
