Legal Assistant
We are currently seeking a Legal Assistant to join our dynamic legal team in our boutique law firm specialized in representing landowners dealing with coal, oil, and gas companies. We are seeking a dependable and detail-oriented Legal Assistant to be the first point of contact for clients and to support daily office operations.
Position Summary
The Legal Assistant plays a key role in keeping our office organized and running efficiently. This position is responsible for answering phones, managing calendars, handling and logging incoming and outgoing mail, and assisting with a variety of administrative tasks to support attorneys and staff.
Key Responsibilities:
Answer and route incoming phone calls in a professional and courteous manner
Return voicemails and relay messages regularly
Conduct initial client intake by gathering essential information and ensuring proper documentation is completed for case files
Manage calendars, schedule appointments, and coordinate meetings
Act as a liaison between attorneys and clients, ensuring smooth communication and follow-up on action items
Receive, sort, log, and distribute incoming mail and deliveries
Print and file pleadings and other documents to be filed with the local Green County Court as needed
Prepare and process outgoing mail and packages
Maintain accurate mail logs and basic records
Perform general administrative duties such as filing, scanning, copying, and data entry
Assist attorneys and staff with administrative support as needed
Provide assistance with billing and invoicing as needed
Help maintain an organized, efficient, and professional office environment
Assist paralegals and team with assembling binders and organizing documents to prepare for hearings
Qualifications:
High school diploma or equivalent required; additional education or office experience preferred
Prior administrative, receptionist, or office experience (law office experience a plus, but not required)
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Comfortable answering phones and interacting with clients
Ability to multitask and work efficiently in a fast-paced environment
Proficient with basic computer systems (email, calendars, word processing)
Dependable, professional, and able to maintain confidentiality
Proactive and motivated with a strong work ethic
Salary Range: $50,000-55,000 nonexempt
