Event Coordinator Position Summary The Event Coordinator plays a key role in delivering high-quality, seamless event experiences. This position supports the event team across all phases of event planning and execution, including administrative preparation, onsite support, and leading logistics for on-campus and off-campus events. The ideal candidate is highly organized, hospitality-minded, and thrives in a fast-paced, collaborative environment. Key Responsibilities Event Administrative Support * Provide administrative support before, during, and after events* Track RSVPs and generate event reports* Prepare name badges and event materials* Pack and organize event supplies and equipment Onsite Event Support * Support live events by assisting with guest registration and check-in* Serve as a greeter and point of contact for guests and vendors* Assist with vendor coordination and onsite logistics* Support event setup, execution, and breakdown Event Planning & Execution * Lead and coordinate logistics for on-campus and off-campus events* Create and manage event plans, timelines, and schedules* Coordinate with communications colleagues on print and digital event collateral* Manage relationships with vendors, external partners, and stakeholders* Collaborate with event owners and/or hosts on guest lists, venues, catering, parking, and other logistics* Maintain accurate and up-to-date records in event management software* Lead and/or support post-event evaluations to assess outcomes and ensure goals and objectives are met Skills & Competencies * Proven ability to manage and prioritize multiple, complex, deadline-driven projects* Ability to remain calm and exercise sound judgment in high-pressure situations* Strong interpersonal and communication skills; able to collaborate effectively across teams and organizational levels* Hospitality-driven mindset with a commitment to exceptional service* Exceptional attention to detail and commitment to quality* Process-oriented with the ability to improve and streamline workflows* Resourceful, proactive, and comfortable working independently* Compassionate and culturally responsive* Familiarity with Webex or similar video conferencing platforms, Smartsheet, and SocialTables* Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint Required Experience & Qualifications * 3-5 years of experience managing events* Experience in higher education, non-profit, or fundraising environments strongly preferred*Job Type & Location*This is a Contract to Hire position based out of Portland, OR.*Pay and Benefits*The pay range for this position is $36.00 - $40.00/hr.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
