Legal Administrative Assistant - Corporate/Transactional
Thompson Coburn is a large full-service law firm with offices in eight (8) cities across the U.S. It is searching for a full-time non-exempt Legal Administrative Assistant to join its Chicago office.
The role reports to the Senior Manager of Legal Support Services and serves as a vital link between attorneys, clients, and support staff, drafting legal documents, managing calendars, coordinating travel, and maintaining confidentiality. A hybrid-remote schedule may be available after initial training.
Key Responsibilities
Supports multiple attorneys and paralegals in preparing legal documents.
Manages attorney calendars, schedules appointments, and coordinates travel arrangements.
Professionally manages client contact in all communications.
Utilizes firm systems for deadlines, docketing, and administrative workflows.
Processes check requests and expense reports through firm accounting software.
Collaborates with administrative staff and proofs documents returned from production.
Knowledge, Skills, and Abilities
Strong organizational and prioritization skills with attention to detail.
Ability to transcribe legal documents, correspondence, and reports from rough drafts or dictation.
Proficient in Microsoft Office Suite, including Outlook, Word, and Excel.
Strong proofreading, grammar, and editing abilities.
Ability to manage multiple assignments and competing deadlines with minimal supervision.
Exercises sound judgment, discretion, and professionalism in all interactions.
Collaborative team player who maintains confidentiality.
Excellent written and verbal communication skills.
Adaptable to change and solves problems using critical thinking.
Willing to work overtime and manage occasional high-volume workloads.
Education and Experience Qualifications
High school diploma or equivalent required; Associate Degree preferred.
At least two (2) years of corporation/transactional legal experience required; three (3) to five (5) years preferred.
Compensation
For applicants meeting the experience requirements and who are physically based in Chicago, IL, the expected salary range is $50,000–$80,000 annually upon commencement of employment, with starting salary determined on an individualized basis. This is in addition to a comprehensive benefit package.
