ASSISTANT PARTS PLANNER

Assistant Parts PlannerThe Assistant Parts Planner supports the Fleet Maintenance Parts Planner in ensuring timely and accurate parts availability throughout the fleet maintenance network. This role assists with inventory organization, parts sourcing, shipping/receiving, basic ERP data entry, and communication between technicians, regional maintenance staff, and Procurement. The Assistant helps maintain accurate records, supports preventative maintenance (PM) programs, and contributes to inventory control efforts that improve equipment uptime and overall fleet performance. Key Responsibilities Fleet Operations Support Assist with inventory assessments, including identifying low stock, misplaced items, and obsolete parts. Support creation, organization, and maintenance of SKU numbers/internal part numbers. Help maintain the Perpetual Inventory System, including daily bin adjustments and documentation. Assist in building and distributing PM filter kits, service packages, and basic parts staging for technicians. Work with technicians, branch staff, and the coordinator to locate parts, check availability, and request transfers within the region. Support stocking of high-priority and critical parts based on usage patterns and coordinator direction. Assist with cycle counts, spot checks, and annual inventory audits. Help track parts associated with manufacturer modifications or recalls. Procurement Collaboration Utilize approved vendor portals to identify part numbers, availability, pricing, and lead times (under coordinator supervision). Assist in preparing PO Requisitions for parts and basic services. Coordinate with Procurement to relay local needs, shipment requirements, or order clarifications. Support updating and maintaining reorder points as directed by the coordinator. Systems & Reporting Enter data into the company ERP system for receipts, issues, part movements, and inventory updates. Assist in maintaining accurate electronic files, including: Vendor communications Shipment confirmations Parts usage logs PM inventory tracking Support the coordinator with simple reporting needs such as open order lists or low-stock alerts. Shipping, Receiving & Warehouse Operations Receive incoming shipments, verify accuracy, and ensure parts are properly labeled and stored. Assist with preparing outbound shipments to technicians, branches, or vendors. Help stage, organize, and maintain a clean and safe parts room/warehouse area. Operate a forklift (after company training/certification) for moving pallets and organizing inventory. Support tracking of returns, including core returns and vendor RMA handling. General Administrative Support Assist technicians and managers with parts lookups, basic research, and documentation needs. Help ensure that work order attachments, parts lists, and related documentation are uploaded accurately. Provide general clerical and administrative support to the Fleet Maintenance Parts Coordinator as needed. Qualifications Skills: Basic understanding of inventory systems (ERP experience preferred). Ability to learn and use online vendor portals and inventory tools. Proficiency with Microsoft Office (Outlook, Excel, Teams). Soft Skills: Strong organizational abilities and attention to detail. Clear verbal and written communication. Willingness to learn and adapt in a fast-paced environment. Dependable, proactive, and customer serviceoriented. Education & Experience: High school diploma or equivalent required. Experience in inventory, warehouse, automotive parts, or fleet maintenance preferred but not required. Familiarity with heavy equipment or trucks is a plus. Must be legally authorized to work in the United States. Must be able to read, speak, and understand English.
