Our skilled team aims to alleviate tax-related stress and deliver effective results.Role DescriptionThis is a full-time, on-site role for an Executive Administrative Assistant based in Livonia, MI. The Executive Administrative Assistant will be responsible for providing direct support to executives and ensuring efficient office operations. Daily tasks include managing schedules, handling correspondence, coordinating meetings, maintaining records, and performing general administrative and clerical tasks. The individual will also act as a liaison between clients, staff, and executives while ensuring smooth communication and efficient task execution.Qualifications2+ years of administrative or executive assistant experienceExperience with billing and collections preferredStrong communication and customer service skillsHighly organized with strong attention to detailAbility to multitask and prioritize in a fast-paced environmentProficient in Microsoft OfficeExperience with SharePoint or document management systemsExperience with CRM systems (QuickBooks Online or similar is a plus)Must have reliable transportation and the ability to commute to the office as neededProfessional appearance, strong verbal and written communication skills, and punctuality requiredAbility to support the team by performing tasks accurately and in a timely mannerStrong attention to detail and the ability to manage multiple administrative projects and deadlines simultaneouslyKey ResponsibilitiesAnswer and manage incoming phone calls professionally Respond to client inquiries and route communications appropriately Handle billing, invoicing, and collections follow-ups Retrieve and receive incoming mail daily Open, review, and organize all incoming mail Scan mail, documents and upload/save to SharePoint accurately Notify and email internal team members regarding important correspondence Prepare and send outgoing mail (including certified and standard mail) Maintain client records and update CRM systems Schedule appointments and manage calendars Assist with document preparation, processing, and organizationPrepare client documents and forms (e.g., engagement letters, IRS authorization forms, and related documentation)Send documents to clients for signature via e-signature platforms and track completionFollow up with clients on outstanding documents, signatures, and requestsEnsure accurate filing and organization of client documentationPerform general administrative and clerical tasks Support executives with day-to-day operational needs Ensure timely follow-up with clients and internal team members Preferred (Not Required)Experience and/or knowledge in tax, accounting, or professional services firm Familiarity with ACH payments and client billing processes Experience handling sensitive or confidential financial documents How to ApplyPlease submit your resume along with a brief note explaining why you would be a good fit for this role.
