Performing the duties of this role requires significant independence, initiative, and the exercise of excellent judgment and discretion. The Administrative Assistant to the Director of Student Support Services organizes and conveys information regarding department functions and procedures and ensures smooth and efficient operation of the Student Support Services department in a customer-centered, policy guided manner.Supervision Received and ExercisedThe Administrative Assistant to the Director of Student Support Services receives supervision from the Director of Student Support Services and direction from other higher-level staff. The Administrative Assistant to the Director of Student Support Services does not supervise other employees. Essential Duties and ResponsibilitiesAssist with day-to-day operations of the functions and duties of the Student Support Services Department.Assist parents and patrons by providing information and developing support.Maintain a wide variety of manual and electronic documents, files and records, such as budget data, employee records, financial records, and reports, for providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.Monitor a wide variety of activities on behalf of the assigned administrator (e.g. program components, meeting arrangements, account balances, work order status, etc.) for achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements.Participate in a variety of meetings, workshops, and/or training for providing or receiving information, recording minutes, and supporting the needs of the attendees.Present information on administrative procedures, department and program policies, and submission procedures for orienting new personnel and disseminating information to existing personnel.Schedule required Nonviolent Crisis Intervention (NCVI) and CPR/First Aid training for staff and maintain accurate certification records.Apply for special education teacher and administrator temporary certificates and approvals from Oakland Schools and the Michigan Department of Education.Prepare a variety of correspondence and departmental documents as requested.Maintain employee confidence and protect operations by keeping information confidential.Establish excellent working relationships with stakeholders, including professional employees, non-professional staff, and the general public.Utilize computer applications such as spreadsheets, word processing, calendar, e-mail, and database software in the performance of the duties of the position.Represent the West Bloomfield School District in a positive manner to internal and external stakeholders.Independently organize work, set priorities, meet deadlines, and follow up on assignments.Maintain regular and reliable work-site attendance.Communicate effectively in person, over the phone, and in writing.Establish and maintain cooperative and effective working relationships with others.Perform other duties as assigned.QualificationsHigh school diploma required. Associate's degree or higher preferred.Proficiency in the use of computers, Microsoft Word, Excel, Google Workspace and Gmail.Ability to coordinate and process data in a timely and accurate manner. Strong analytical skills and attention to detail.Ability to establish priorities and meet deadlines accurately and precisely.Self-directed with the ability to perform job tasks with minimum supervision.Customer service oriented with strong writing and verbal skills.Strong interpersonal skills to maintain effective relationships with staff.Demonstrate a high degree of initiative, ability to complete tasks independently and the ability to multitask.Ability to recognize problem areas, seek and provide solutions to increase efficiency.Demonstrate a sincere liking for people of all ages and ability to resolve their concerns without sacrificing objectivity for the needs of the organization.Demonstrate qualities of loyalty, honesty, integrity, and appreciation for confidentiality in relationships with the supervisor and the organization.Work ModeThe work for this position requires a fully onsite presence.SalaryIn accordance with the current WBAAA collective bargaining agreement - Classification 38 (starting rate is $18.71/hr).Physical DemandsThe physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. The Administrative Assistant to the Director of Student Support Services is required to sit for prolonged periods, walk, talk, hear, operate a computer, hand-held devices and other office equipment, reach with hands and arms, and must occasionally lift and move up to 40 pounds. The Administrative Assistant to the Director of Student Support Services must be able to read small print and view a computer screen for prolonged periods. The Administrative Assistant to the Director of Student Support Services must be able to be understood in face-to-face communications, to speak with a level of proficiency and volume to be understood in an office environment and over a telephone or computer. The Administrative Assistant to the Director of Student Support Services must be able to have repetitive wrist/hand/finger movement to work on a computer and related office equipment. Environmental ElementsThe Administrative Assistant to the Director of Student Support Services works primarily indoors in general office conditions, which include quiet to moderate noise levels.
