Administrative Assistant - Part Time
Job Summary
This position is responsible for providing administrative support for the Plant Operations department. This position is 19 hours per week.

Minimum hourly rate $15.67
Responsibilities
Processes department purchases - 50%
Requests and processes information to create purchase requisitions
Processes payment requests
Prepares invoices for approval and sends to accounts payable
Enters E-Pro requisitions
Receives delivered items in Peoplesoft
Performs customer service functions - 30%
Answer telephone calls and greet visitors
Provides information and assistance to callers and visitors
Communicates emergency calls to Plant Operations personnel
Issues, records and tracks contractor key sets
Coordinates Event Management needs with Plant Operations personnel
Assist in managing vehicle fleet and fuel system - 10%
Receives gas receipts and reconciles with monthly invoice
Prepares monthly fuel invoice for payment
Performs related duties - 10%
Maintains custodial supply spreadsheets
Enters department purchase card purchases in expenditures spreadsheet
Unlocks door for deliveries during absence of Mail room personnel
Maintains department files
Required Qualifications
Educational Requirements
Associates degree in a course of study related to the occupational field or equivalent related experience

One year of related experience

Familiarity with Microsoft Office 365, Word, Excel, TEAMS and Dynamic Forms

Knowledge of modern office practices and software applications
Knowledge of college and departmental policies and procedures
Knowledge of facilities administration, purchasing, and record-keeping procedures

Skill in organizing, prioritizing, and coordinating multiple tasks and projects
Skill in maintaining accurate records and preparing reports. Skill in using office technology and software, including spreadsheets and work-order systems

Skill in establishing and maintaining effective working relationships with vendors, staff, and administration
