This position ensures administrative execution, cross-team coordination, and operational excellence by managing systems, internal communications, documentation, and vendor support.Position Description:General Business & Operational Support Support executive and departmental teams by protecting the corporate management timeline – ensuring tasks, follow-ups, and deadlines are not missedCoordinate cross-functional assignments and ensure ownership/accountability is in placeTriage immediate four-wall issues (e.g. vendor, facilities, staffing escalations) to ensure timely follow-up and communication with leadershipOrganize, maintain, and structure all brand files in NextCloud for ease of access, consistency, and access controlBuild and maintain operational workflows and shared calendars to track key dates (e.g. openings, launches, compliance, reporting deadlines)Manage day-to-day administrative needs of the office, including scheduling, travel, supplies, and vendor coordinationMaintain company-wide checklists, tools, SOPs, and onboarding trackers for consistency and compliance. Finance SupportAssist with invoice processing, GL coding, payable runs and vendor documentation (e.g. W-9s)Coordinate with COO to prepare documentation for audits and reconciliations Organize expense reports and recurring cost trackersSupport meeting prep for budgeting, cash flow, and periodic reporting reviewsHR / People & Culture SupportCoordinate new hire onboarding materialsAssist in maintaining internal HR documentation and personnel filesTrack employee milestones, anniversaries, and leadership development sessionsSupport initiatives related to culture, recognition, and team engagementMarketing SupportAssist in coordination of brand campaigns, PR efforts, and LSM initiativesManage and maintain digital and physical asset libraries (e.g. logos, photos, signage)Liaise with corporate and franchise field teams and marketing vendors for collateral needsMonitor and support reputation/review management tools (e.g. Momos), escalating negative reviews, flagging trends, and ensuring response expectations are metAssist the marketing team in tracking campaign results, coordinating with vendors, and organizing reporting needsDigital SupportAssist in tracking digital project timelines and tasks across platforms such as website development, loyalty programs, online ordering (OLO), customer experience tools, and emerging tech integrations Coordinate with external technology partners and vendors (e.g. Toast, Mediaura, Placer.ai, Momos, loyalty vendors) to support system enhancements, resolve issues, and ensure project deliverables stay on trackManage user access permissions, credential creation, and offboarding protocols for new store rollouts and corporate employee lifecycle changes across digital toolsMaintain and organize internal documentation for all digital systems, including platform SOPs, login repositories, reporting dashboards, and training guidesPosition Requirements:Entry level experience in operations coordination, office management, or administrative supportFamiliarity with digital platforms such as Toast, Restaurant365, Google WorkspaceStrong written and verbal communication skillsHighly organized, deadline-driven, and detail-orientedPreferred Qualifications:Experience supporting executive-level leadersHospitality, franchise, or restaurant industry experiencePhysical Requirements:Must be able to remain in a stationary position 50% of the timeMust have the ability to lift 25-50 pounds at a time
