We are well positioned to serve our clients nationwide.ENTACT is actively seeking a CA Timekeeping Administrator to work in the environmental remediation and geotechnical construction industry. The salary range of this position is $60,000/yr. - $65,000/yr. commensurate with experience.Position SummaryThe California Timekeeping Administrator is responsible for the precise daily oversight of time and attendance records for our California-based projects. This role ensures 100% compliance with California’s rigorous Wage and Hour laws, focusing on meal and rest period requirements, daily overtime, and double-time calculations. The Administrator will act as the primary point of contact for supervisors regarding timekeeping accuracy, managing to company policy, and digital system troubleshooting. This position partners with the California management team, project level teams, and takes direction from the HR/Payroll Corporate Department.Essential Job FunctionsDigital System AdministrationServe as the administrator for the digital timekeeping kiosk and mobile platforms.Ensure that all projects in California are set up using the digital timekeeping system (or appropriate paper time sheet in rare cases).Train new supervisors on the proper use of mobile timekeeping applications, kiosk hardware, and cell phone technology.Review and reconcile "missed punch" reports and manual adjustments, maintaining a clear audit trail for every change.Daily Compliance OversightMonitor daily time logs to ensure all non-exempt employees are provided proper meal breaks.Identify and flag potential "short" or "late" meal breaks to prevent penalty hour accruals.Verify rest breaks are occurring properly.Train supervisors on the various meal and break rules, overtime rules, and forms related to time keeping management and ensure all required forms are being completed as needed.Weekly California Payroll Audit and Time SubmissionCoordinate with California APM’s to review and audit all time punched into allGeo to time entered into Viewpoint Construction Software are in sync.Confirm all time punches are complete and accurate, with corresponding forms for any adjustments.Reporting & Payroll SupportClose weekly Viewpoint Hourly crew timesheets and submit to Corporate Payroll.Create payroll packet to submit weekly time for each project including Viewpoint crew timesheets, time punch reports and corresponding adjustment forms.Communicate with Payroll any discrepancies or special circumstances (i.e. premium pay) that may need to be addressed during payroll processing.Assist corporate Payroll with maintaining comprehensive digital records of all timecards for the legally required 4-year retention period.Skills/Experience Required 2–3 years of administrative experience in payroll, timekeeping, or HR operations.Construction industry experience required.California Expertise: Strong working knowledge of California Labor Code510 and IWC Wage Orders (specifically relating to construction or on-site occupations).Tech Savvy: Proficiency in electronic timekeeping systems and mobile workforce management tools.Detail/ Deadline Oriented.Experience supporting multi-site operations. Experience with construction-specific timekeeping (prevailing wage, per diem, and equipment tracking).Manage multiple priorities simultaneously.Bilingual (English/Spanish) to support diverse field crews.Strong Excel, Word, HRIS Database experience skills.This Associate must have a valid driver's license with no driving restrictions which interfere with job requirements.Physical DemandsThe following physical activities or abilities are commonly, but not always, associated with the performance of this position.
