Business Office Manager

Summary/Objective
The Business Office Manager is responsible for the organization of and coordinating administration duties and office procedures and ensuring adequate client census of all residential facilities.
Duties & Responsibilities
Administration
Organize the office layout and order stationery and equipment
Maintain the office condition and arrange necessary repairs
Partner with Human Resources to update and maintain office policies, as necessary
Coordinate with IT department on all office equipment
Ensure timely delivery of all invoices to Bookkeeper
Assist in the onboarding process for new hires, as required by Human Resources
Provide general support to visitors
Schedule and/or assign job locations of Administrative Assistants and Clerks
Plan in-house or off-site activities, like parties, celebrations and conferences
Placement
Creation, maintenance of and on-time submission of reports to include, but not limited to:
Daily Activity Report (DAR)
Daily Count
Client Roster
Discharge List
Records Maintenance Log
Client Census
Placement will be made according to policy/procedure
Answer all placement calls from TDCJ and other client sources
Maintain adequate levels of clients in each residential facility
Maintain and update daily AMS requirements
Provide monthly client data for Accounts Receivable
Assist in other tasks, as assigned
Education & Training
High School diploma or GED, required; Bachelors degree preferred
Two years experience
Knowledge, Skills & Abilities
Knowledge of office administrator responsibilities, systems and procedures
Hands on experience with office machines (i.e., fax machines, printers and computers)
Excellent written and verbal communication skills
Strong organizational skills in a fast-paced environment
Data entry skills
Hands-on experience with spreadsheets
Proficiency in MS Office
Customer service orientation and negotiation skills
High degree of accuracy and attention to detail
Clear criminal history
