General Position Summary: This position is responsible for performing all production facets of the Mail Services Division in a positive manner in order to be able to cover when assigned personnel are absent. Tasks may include, but are not limited to, the following: Sorting/processing mail and contract work; operating the OCR (performing required data entry and operating the BUSKR8 List Management program). Work with Meters, Flat Sorter and inserter; driving a company vehicle to pick up and/or deliver mail or other designated material; troubleshooting and maintenance of machines; providing equipment support as assigned. Responsible for performing all tasks in a safe, accurate, and timely manner; in accordance with applicable regulations, policies, and procedures; for providing excellent customer service; positive role model for others. Ensures all tasks are performed in a safe manner. Essential Functions/Major Responsibilities: The following are types of tasks which may be required to be performed as needed or assigned: Sets-up and operates all equipment in Mail Services. Sorts and processes all machines rejects and other hand-sorted mail. Performs required paperwork on mailings and all machines. Completes all required paperwork per postal regulations Effectively communicates with coworkers and provides support as needed. Drives vehicle to pick-up and deliver mail and/or material. Processes and provides quality control for inventory of incoming bulk mail jobs Performs set up and work process of assigned technical/computer equipment and List Management System. Prepares required reports associated with data collection for customers and operational use. Supervises subordinate personnel during operation of assigned technical/computer equipment. Sets up, generates, and maintains customer files and mailing lists. Maintains high degree of understanding of bulk mailer, data base, current Windows operating system, and all related software in order to complete contract jobs. Operates meters, maintaining high level of accuracy Secondary Functions: May perform any or all of the following secondary functions on as-needed basis: Check in mail. Sort flats and mail. Provide support for all machines. Operate forklift and mail equipment. Provide back-up coverage for all positions in Mail Services. Assist with special project work. Provide input on ways the organization can create integrated employment opportunities for people with disabilities. Perform other related duties as assigned. Job Scope: Performs duties independently with minimal supervision, operates from established and well known procedures. Decisions are made within general company policy constraints but may occasionally require independent decision making. This position may be asked to provide input on recommendations concerning long-range operational planning for the organization. Mistakes/errors may disrupt operations and cause financial loss by increasing operating expenses. Supervisory Responsibilities: This position is not generally supervisory in nature but may be required to provide work direction to coworkers as needed. Interpersonal Contacts: Has mostly internal contacts with own department staff and supervisor. The most frequent external contacts are with customers. The types of interactions, both internal and external, involve information exchange and problem solving. Contacts, both inside and outside, are usually made at the employee's own initiative with 50% of the contacts being over the phone and 50% face to face. 20% of all contacts are with external customers while 80% are with internal customers. Specific Job Skills Required: Excellent communication, interpersonal, and customer service skills Ability to operate mail processing equipment Ability to understand postal regulations Ability to provide on-the-job training and direction to diverse workforce. Ability to use independent judgment and/or take independent action and make decisions Ability to actively participate in team development and team-oriented processes Ability to read, write, speak and understand English Ability to use computer hardware/software and operate other general office equipment/machines Ability to retain high level of concentration and attentiveness to detail while performing multiple tasks Valid driver's license, acceptable driving record, and proof of current vehicle insurance. Excellent manual dexterity skills Ability to perform basic math Skill at data/record-keeping Ability to stand, handle objects, reach, see, bend, twist and make repetitive movements with hands and wrists Ability to push/pull up to 400 pounds with pallet jack occasionally and lift/carry up to 40 pounds regularly throughout a normal workday Physical and mental ability to obtain/maintain forklift certification Education and/or Experience Required: A minimum of 1-2 years experience/training in a mailroom environment or similar functions A minimum of 1 year experience/training using general office equipment Valid Oregon drivers license, acceptable driving record, and proof of current vehicle insurance. A high school education or equivalent Job Conditions: This position requires the incumbent to work in an environment where there is exposure to dust, poor lighting and ventilation, noise, odors and temperature fluctuations. Other working conditions may include: shift work; frequent interruptions; working alone; exposure to long hours of computer work; on-call status; shift work; driving in heavy traffic; interaction with general public; disagreeable contacts (i.e. aggressive/agitated individuals); evening work; may work extended hours during peak periods.
