Payroll and Benefits Coordinator

Qualified Production and Development provides custom machining and manufacturing services, serving the semi-conductor, life science and other industries. We have 2 facility locations, both in Oregon. Our Hillsboro location provides contract manufacturing services for prototyping, machining and assembly with cleanroom capabilities. Our Cornelius facility provides precision sheet metal manufacturing, rounding out our ability to provide best in class integration services to our customer base.
PAYROLL AND BENEFITS COORDINATOR SNAPSHOT
As a key operational partner to the HR Manager and Accounting Manager, the Payroll and Benefits Coordinator is responsible for payroll and benefits coordination and excellent customer service to our 100+ team members in Oregon. Responsibilities include payroll processing, conducting new hire payroll and benefits onboarding, carrier enrollments, carrier billing activities and first line support of payroll and benefits system setup, maintenance, and troubleshooting. Provides administrative and project support to HR. Utilizes strong related HR and accounting knowledge, attention to detail, technical aptitude, and the ability to handle sensitive and confidential information with discretion.
WHAT YOU'LL DO AS THE PAYROLL AND BENEFITS COORDINATOR
Payroll Coordination and Processing
Conducts payroll related employee onboarding and offboarding tasks and activities.
Processes biweekly payroll accurately and on time, including regular and special payrolls.
Maintains payroll records, including earnings, deductions, garnishments, and tax withholdings.
Ensures compliance with federal, state, and local wage and hour laws.
May assist accounting to coordinate payroll tax filings, reconciliations, and year-end processing (W-2s, audits, and corrections).
Responds to employee payroll inquiries and resolve discrepancies promptly.
Benefits Coordination and Processing
Day to day coordination and processing of employee benefit programs, including medical, dental, vision and life insurance. Assists in retirement plan tasks as requested. Performs Paid Leave Oregon equivalent plan billing creation and documentation.
Conducts benefits related employee onboarding and offboarding tasks and activities.
Processes benefit enrollments, changes, terminations, and qualifying life events in the HRIS and with carriers.
First line contact with carriers with support from manager as needed.
Coordinate annual open enrollment activities, including employee communications and system updates.
Reconcile benefit invoices and work with carriers to resolve discrepancies.
Support compliance with applicable regulations (COBRA, ACA, ERISA, etc.)
HRIS Support and Maintenance
Maintain payroll and benefits related functions and employee data in the HRIS, ensuring accuracy and data integrity.
Assist with HRIS setup, configuration, testing, and implementation of new features or system updates.
Troubleshoot payroll, benefits, and employee data issues; escalate complex system issues as needed.
Generate and distribute standard and ad hoc HR, payroll, and benefits reports.
Support data audits and process improvements to enhance system efficiency and accuracy.
Compliance and HR Support
Assist the HR Manager and Accounting Manager with audits, reporting, and compliance tasks and activities.
Maintain employee payroll and benefits files with confidentiality of employee records and sensitive information.
Support other HR and accounting administrative functions and special projects as assigned.
Performs other duties as assigned.
Schedule:
Day shift, Monday - Friday, 8 hours per day, 40 hours per week.
Occasional overtime as needed.
MINIMUM AND PREFERRED REQUIREMENTS
High School diploma or equivalent experience. College level coursework, 2-4 year related degree and/or continuing education in related fields is preferred.
3-5 years of experience in payroll and benefits coordination roles in a 100-150 employee organization, including employee onboarding/offboarding payroll and benefits activities. Manufacturing or similar industry is a plus.
Accounting knowledge and experience is preferred.
Working knowledge of current payroll, benefits and employment related laws and best practices at an operational level.
Hands-on proficiency with HRIS systems with a focus on benefits management and payroll processing. Paycom experience is a plus. Experience supporting new system implementation or upgrades is a plus.
Proficient MS Word, Excel and Outlook skills; PowerPoint is a plus.
Strong math aptitude and orientation, with the ability to calculate and recon numbers and data efficiently and accurately.
Experience writing HRIS reports.
Experience accurately and efficiently analyzing and troubleshooting benefits and payroll calculations, reports, systems and processes.
Exceptional attention to detail, organizational skills, and ability to meet deadlines in a fast paced environment.
Strong aptitude and comfort level with written and verbal communication at all levels internally and externally to the company.
Self-motivated and resourceful.
Excellent judgement and discretion regarding sensitive and confidential information.
Customer-service mindset and collaborative, team approach.
A valid driver’s license, current insurance and ability to drive occasionally.
Ability to work overtime as needed.
