Job Title: Administrative Assistant III (2nd Shift)Location: Goodyear, AZPay Rate: $18.50/hourSchedule: Monday-Friday, 3:30 PM - 11:30 PM, with overtime and weekend availability as neededJob SummaryThe Administrative Assistant III provides high-level administrative support, performing complex and confidential functions on behalf of a department head or large department. This role involves managing administrative programs, coordinating projects, and handling a wide range of office responsibilities with minimal supervision. The position may also include providing direction to lower-level clerical staff.Key ResponsibilitiesGreet visitors, answer phones, screen and route calls, take messages, and assist with resolving routine inquiries regarding departmental policies and proceduresProvide work direction or supervision to lower-level clerical personnel as neededSchedule appointments and manage calendars for department leadership, often without prior clearanceCoordinate meetings, conferences, and special events, including catering, presentation materials, and equipment setupArrange travel and lodging accommodations and process expense reportsReview, prioritize, and determine appropriate actions for incoming correspondence and mailMaintain office supplies, equipment, filing systems, and departmental recordsAssist with creating and maintaining reports, spreadsheets, charts, graphs, and databasesMonitor and assist with departmental budgets, expenditures, and account recordsCoordinate office equipment repairs and collaborate with facilities to ensure efficient workspace utilizationCompose documents, maintain databases, and update departmental websites and recordsHandle confidential information with discretion and professionalismConduct research, analyze data, and support large-scale project coordinationMaintain calendars and scheduling for managementQualifications & RequirementsHigh school diploma or equivalent requiredMinimum of three (3) years of administrative support experience and knowledge of general office proceduresStrong listening, verbal, and written communication skillsAbility to exercise discretion and independent judgment within established policies and proceduresExperience with report generation and administrative practices requiredIntermediate or advanced proficiency in Microsoft Office (Word, Excel, Access, PowerPoint) and internet search toolsExperience with pivot tables and advanced Excel formulas preferredStrong attention to detail and ability to multitask in a fast-paced environmentExcellent organizational, problem-solving, and time management skillsPhysical & Work RequirementsAbility to remain seated for extended periods during the workdayCapability to perform tasks involving fine motor skills, including typing, filing, and handling paperworkAbility to communicate effectively through sight, hearing, and other necessary means to perform job duties safely and efficientlyThis position is ideal for a detail-oriented professional who thrives in a structured environment and is capable of handling complex administrative responsibilities with a high degree of confidentiality and independence.TJCAZ
