Intake Specialist

West Law Firm is looking for an Intake Specialist to join our team. Reporting directly to our Marketing Director, Melissa Head, this role plays a key part in creating a seamless and welcoming experience for new clients. The ideal candidate is highly professional, detail-oriented, and brings exceptional communication and organizational skills, along with a strong sense of urgency in handling all client interactions. Experience with case management systems is required — we currently use Filevine and Lead Docket.As an Intake Specialist, you will manage inbound calls, qualify potential clients, and help them understand the value of their case and the services we provide. This is an opportunity to make a meaningful impact by guiding clients through their first interaction with our firm with empathy, efficiency, and prompt attention.Responsibilities:Answer inbound calls and emails in a warm, professional mannerGather detailed information to evaluate each prospective caseComplete client intake forms accurately in our case management systemExplain our firm’s services and the legal process in clear, straightforward termsAssess the eligibility of potential cases and keep clients informedMaintain regular communication with clients and coordinate follow-ups with attorneys to ensure smooth case assignmentEffectively de-escalate situations when clients are upset or anxious, demonstrating patience and professionalismDocument all new inquiries and client updates thoroughlyUphold confidentiality standards and firm policiesAssist with administrative tasks and special projects as neededWork closely with legal teams to support a seamless transition from intake to case managementThe ideal candidate should possess the following skills:Excellent written and verbal communication skillsStrong analytical, interpersonal, and organizational abilitiesProven capacity to juggle multiple priorities in a fast-paced environmentSkilled in evaluating complex issues and recommending solutionsDemonstrates sound judgment and discretion when handling sensitive mattersCalm and composed under pressure, with a proactive, self-motivated attitudeEmpathetic and able to connect with clients in challenging circumstancesDetail-focused with a commitment to accuracy and thoroughnessStrong sense of urgency in responding to client needs and moving cases forwardProficiency in Microsoft Office SuiteSales experience preferredBenefits:Dental insuranceHealth insurancePaid time offVision insuranceHourly Pay: $17 to $26 based on experienceJob Type: Full-timeWork Location: In person – Moncks Corner, SC
