Front Desk Reception:Greet visitors and guests in a warm and friendly manner, providing excellent customer service.Manage incoming calls, transferring calls to the appropriate departments or taking accurate messages.Maintain a professional reception area, ensuring a welcoming environment.Handle incoming and outgoing mail, packages, and deliveries.Schedule appointments as needed for the Head of the Upper School.Administrative Support:Provide administrative assistance to the Head of the Upper SchoolPrimary responsibility for attendance documentation and processing.Assist with document preparation, data entry, and maintaining records and files.Conduct research and compile information as requested.Coordinate and organize office events, meetings, and conferences.Assist with inventory management and ordering office supplies.Process Upper School purchasing card transactions.Communication and Correspondence:Respond to inquiries, emails, and correspondence promptly and professionally.Communicate positively with internal staff, families, and all other stakeholders.Assist in drafting and proofreading documents, reports, and presentations.Office Operations:Collaborate with various departments to ensure smooth office operations.Coordinate with IT and facilities management for equipment and facilities maintenance and repairs.Monitor and maintain office supplies and inventory levels.Assist in implementing and improving office policies and procedures.Manage student office workers as needed/desired.Record and reconcile bank statements, credit card statements, and other financial transactions.Maintain accurate and complete financial records, including sales, purchases, receipts, and payments.Monitor the spending activity of the Upper School.Qualifications:High school diploma or equivalent; additional certification or associate's degree in office administration is a plus.Proven experience as an administrative assistant, receptionist, or in a similar role.Proficiency in the use of Google Workspace and the ability to learn new software quickly.Excellent verbal and written communication skills.Strong organizational and time management abilities.Attention to detail and problem-solving skills.Ability to multitask and prioritize tasks effectively.Professional demeanor, discretion, and strong customer service orientation.An active Christian faith and alignment with Lipscomb Academy's mission and valuesEqual Opportunity Employer
