Administrative Assistant

The Administrative Assistant assists with the day-to-day operations of the Finley Asphalt & Concrete office in Ashland, including answering phones, scheduling, entering sales leads into the system, and other general administrative duties.Essential Job Duties & ResponsibilitiesDevelop and maintain a thorough knowledge of Finley’s services and customersOversee and support all administrative duties in the office and ensure that office is operating smoothlyContact Miss Utility to locate existing underground utilities & schedule portable toiletsManage the ordering, organizing and distribution of office/mail/pantry/crew/HR supplies, and ensure supplies are stockedAssist clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is requiredPerform receptionist duties: greet visitors, and answer direct phone callsSchedule routine maintenance, grounds management, and yearly HVAC cleaning & services & Firehouse inspectionUpdate scheduling boardEnter leads from various sources into the systemAct as a Human Resources point of contact and liaison, including collecting and managing applicant and new hire information, keeping forms up to date, delivering benefit information to employees, conduct exit interviews including collecting electronics and passwords upon separation.Act as a Safety point of contact and liaison, ensuring safety gear is in stock and up to date, and forms are printed and available.Attend meetings with management, keeping up to date on current projectsOrganize and coordinate meetings including the yearly kick off meetingProvide other administrative support as necessary, including scheduling group meetings, maintaining crew job schedules, doing research, and creating reportsCoordinate winter activities in preparation for seasonal impacts, including Holiday lights, pausing vendors and services if neededOther duties as assignedQualifications (Experience, Education & Certifications, Key Attributes)To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
