Facilities Coordinator
OVERVIEW:The Facilities Coordinator is responsible for the day-to-day maintenance, safety, and functionality of IMAN’s facilities. This role supports facility operations, capital improvements, and organizational expansion by ensuring all buildings, equipment, and grounds are properly maintained. The ideal candidate is detail-oriented, hands-on, and knowledgeable in building systems and maintenance practices.KEY RESPONSIBILITIES:Facilities Maintenance & OperationsConduct routine inspections of buildings and grounds to identify and address maintenance needsPerform preventive, corrective, and general maintenance on facilities, equipment, and systemsExecute seasonal maintenance (e.g., winterization, summerization)Perform general repairs including carpentry, plumbing, electrical, and HVAC (escalate complex issues as needed)Maintain cleanliness and readiness of facilities and event spacesMove furniture, equipment, and materials as neededWork Order & Systems ManagementMaintain and update all work orders using the UpKeep systemTrack maintenance requests and ensure timely completionMaintain inventory of tools, supplies, and equipmentProject & Vendor CoordinationAssist in planning and executing facility improvement projectsCoordinate vendors, subcontractors, and service providersSchedule vehicles, equipment, and resources for maintenance and projectsOversee contracted services (e.g., landscaping, snow removal)Event & Space CoordinationCoordinate event setup, breakdown, and space restorationSupport space planning, layout, and utilizationSafety & ComplianceEnsure compliance with IMAN policies, OSHA standards, and applicable regulationsMaintain safety procedures for tools, equipment, and facilitiesParticipate in safety trainings and enforce protocolsCoordinate with emergency services during incidentsSupport emergency preparedness and response planningAdministrative & Team SupportAttend Planning, Operations, and Facilities meetingsCollaborate with staff and consultants to maintain safe campus environmentsDrive company vehicles as needed for job dutiesPerform other duties as assignedREQUIRED QUALIFICATIONS:High school diploma or GED.5+ years of experience in facilities management or related field (preferred)Experience in construction, property management, or building systemsStrong organizational, problem-solving, and communication skillsAbility to work independently and across multiple teamsExperience working in multicultural, multiracial, and multireligious environmentsProficiency in Microsoft Office and work order systems (e.g., UpKeep)Familiarity with maintenance tools and equipmentValid U.S. driver’s license requiredPREFERRED QUALIFICATIONS:Certification or license in HVAC, Plumbing, Electronic or CarpentryAssociate Degree or relevant work experiencePHYSICAL DEMANDS & WORKING ENVIRONMENT:Ability to lift up to 60 lbsAbility to work in varying indoor and outdoor conditions, including fluctuating temperaturesAbility to operate maintenance and construction equipmentSchedule typically starts between 7:00–8:00 AM for an 8-hour workdayMust be available for on-call shifts, including evenings, weekends, and holidaysAbility to respond to emergency situations as neededCORE COMPETENCIES:Operational Management:Project ManagementVendor CoordinationCompliance and SafetyProblem-SolvingEmergency PreparednessTechnical KnowledgeBENIFITS:Medical, Dental, Vision Flexible Spending Account (FSA)401(K)Vacation, Sick, and Personal daysPaid Parental LeaveLife and Disability InsuranceIMAN is an Equal Employment Opportunity ("EEO") Employer.
