Position Overview
The Administrative Assistant provides comprehensive administrative support to a Division Vice President, Director, and their leadership team. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, global environment.
The ideal candidate is proactive, highly organized, professional, and capable of handling confidential information with discretion.
Key Responsibilities
Calendar Management
Manage complex, global calendars for senior leadership
Coordinate and prioritize meetings across time zones
Support additional departmental calendars as needed
Travel Coordination
Arrange domestic and international travel
Coordinate visas and passports in partnership with travel vendors
Ensure smooth travel documentation processing
Purchasing & Expense Support
Process P-card transactions
Submit and track e-Procurement purchase requisitions
Prepare and process expense reports using Concur
Track and report purchasing activity as required
Communications & Meeting Coordination
Draft and distribute organizational communications
Prepare meeting agendas and coordinate weekly staff meetings
Facilitate meetings when needed
Maintain department distribution lists and group communications
Event & Logistical Support
Provide logistical support for commercial meetings, trade shows, and annual events
Plan and coordinate department events, summer activities, and holiday initiatives
Support onboarding logistics for new employees and contractors
Coordinate visitor logistics and customer tours
Schedule interviews and support recruiting coordination
Operational Support
Maintain phone lists and internal contact directories
Support updates to organizational email distribution lists
Collaborate with space planning teams as needed
Partner with cross-functional administrative teams
Participate in department initiatives, including culture and engagement efforts
Proactively take on additional responsibilities as requested
Required Qualifications
2–3 years of experience supporting Director-level leadership
Experience coordinating international travel
Ability to handle highly sensitive and confidential information
Strong attention to detail
Ability to multitask and prioritize effectively
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Experience with Concur expense reporting
Experience with e-Procurement systems (PeopleSoft preferred)
Familiarity with phone and video conferencing systems
Professional, flexible, and team-oriented demeanor
Preferred Qualifications
Experience supporting senior leadership in corporate environments
Strong written and verbal communication skills
Experience supporting technical or Science & Technology teams
Familiarity with Microsoft Teams and SharePoint
Demonstrated reliability and consistent performance
Proactive mindset with willingness to take on additional responsibilities
Job Types: Full-time, Contract
Pay: $25.16 per hour
Expected hours: 40 per week
