This position will interact with all areas of the company and must exhibit our following core values: Make a Difference, Do the Right Thing, Get it Done, Team Player and Growth-Oriented - apply today!Executive Assistant JOB SUMMARY:Responsible for providing administrative support for the assigned Executive, including email management, electronic and manual filing; coordination of daily personal and business meetings, coordination of meetings and conferences, travel; including special projects as assigned.Executive Assistant ESSENTIAL FUNCTIONS (RESPONSIBILITIES): Provides administrative support to the Executive assigned. Reviews and responds to all emails and phone calls daily, with confidentiality and urgency. Schedules, arranges, and ensures the Executive is properly prepared for appointments and meetings. Manages Executive’s calendar to include scheduling and organizing activities such as meetings and travel arrangements and coordinating appointments among department calendars. Attends meetings with the Executive, as requested, take minutes/notes, and prepares summaries of meeting activities and outcomes. Schedules and arranges travel for the Executive, including transportation, hotel accommodations, and related activities/events. Reads and interprets documents, emails and correspondence for the Executive and prepares associated summaries. Provides support and assistance in the preparation of correspondence, reports and information for dissemination from the Executive. Organizes and maintains both electronic and manual files for the Executive’s office. Supervises and participates in the development and maintenance of automated and manual files for the office. Develops presentations, diagrams, flow charts, videos, and other materials, as directed, to help ensure business communications are well-written, timely and effective. Serves as the “face” of the Executive; establishes positive working relationships with company departments and provide proactive communication with other departments. Exercises awareness with regard to possible suspicious activity, money laundering or fraudulent behavior and reports any such incidents to the BSA department. Performs all job functions in compliance with all company policies and federal, state, and local laws and regulations as applicable to the position, including, but not limited to BSA/AML, OFAC and GLBA/privacy rules. Performs related responsibilities as required or assigned.Knowledge/Skills/AbilitiesExecutive Assistant REQUIRED QUALIFICATIONS: Thorough knowledge of project planning and management, with demonstrated initiative and successful management of multiple projects. Advanced computer competence in Microsoft Office (Word, Excel, PowerPoint; Outlook and OneNote) Adobe Acrobat programs and internet research. Direct, clear and concise in communication style with the ability to prepare user-friendly documents and summaries. Highly organized and attentive to detail with the ability to multitask and to help the Executive stay on top of daily activities. Ability to work independently with limited supervision and to take the initiative in planning and completing assignments. Ability to maintain confidentiality and to establish the highest degree of trust and credibility in working with the Executive and members of senior management. Ability to be professional and represent the Executive at high levels both inside and outside the organization. Ability to anticipate needs and requirements and to be responsive to new and changing assignments, even when limited notice is provided. Prefer experience as an assistant to corporate executives. Prefer related experience working in a small office environment.
