It sits at the intersection of PMO, workforce strategy, and executive decision-making.What You’ll Be Responsible ForWorkforce & Headcount StrategyProvide enterprise-wide visibility into headcount, resource capacity, and workforce allocationTrack and manage employee deployment across projects and operational work (BAU vs. project)Maintain clear views of:Who is working on whatAvailable vs. allocated capacityHeadcount utilization across functionsAlign work demand to available headcount, ensuring realistic planning and preventing overcommitmentPartner with leadership to support hiring, redeployment, and prioritization decisionsCapacity Planning & Resource ForecastingBuild and maintain capacity models across roles, teams, and regionsForecast resource demand across initiatives and portfoliosPartner with PMs and functional leaders to validate planning assumptionsIdentify capacity gaps, bottlenecks, and over-allocation risksPortfolio Visibility & Decision SupportConsolidate demand across projects into a single enterprise viewDevelop scenario models to evaluate trade-offs (e.g., prioritization, sequencing, resourcing impacts)Deliver data-driven recommendations to support executive decision-makingSupport portfolio governance and planning cycles (monthly/quarterly reviews)Skills & Capability ManagementDevelop and maintain visibility into employee skills, competencies, and job functionsPartner with business leaders to map:Core job functionsSpecialized skillsetsTeam-level capabilitiesEnable skill-based resource planning, not just role-based allocationIdentify:Skill gaps impacting deliveryOpportunities for redeployment or upskillingSupport strategic workforce decisions (build vs. buy, contractor vs. FTE)Reporting, Analytics & InsightsCreate dashboards and reporting to track:Capacity vs. demandUtilization and allocation trendsTime-to-staffWorkforce risk indicatorsTranslate complex datasets into clear, actionable business insightsProvide visibility that improves delivery confidence and predictabilityTools, Process & Cross-Functional CollaborationManage and optimize resource management tools (Smartsheet preferred)Work cross-functionally with:Project ManagersFunctional LeadersExecutive stakeholdersOperate effectively within a matrixed / federated environmentInfluence outcomes without direct authority and drive adoption of best practicesWhat We’re Looking ForExperience5–8+ years in:Project/Program ManagementPMOResource / Workforce ManagementExperience working in a matrixed or federated organization (required)Proven Expertise InCapacity planningResource forecastingPortfolio / program-level planningSupporting executive-level decision-makingWorkforce or headcount planning (preferred)Core SkillsStrong analytical and data interpretation skillsAbility to translate complex data into clear, business-driven insightsStrong stakeholder management and influencing skills without authorityHigh level of business acumen and strategic thinkingAdvanced Excel skills; experience with Smartsheet or resource management toolsWhy This Role Stands OutDirect exposure to executive leadership and strategic planningOpportunity to shape enterprise-wide workforce and resource strategyBlend of data, people strategy, and business impactHigh visibility role with influence across multiple functionsOur specialized recruiting professionals apply their expertise and utilize our proprietary AI to find you great job matches faster.
