Job Title: Office Manager – Accounting & HR Location: Jupiter, FL 33458 Reports To: General Manager Direct Reports: Receptionist; HR/Admin Assistant Compensation: $100K (Salary) Position Overview The Office Manager – Accounting & HR is a senior operational role with a primary focus on financial management, accounting oversight, and reporting, while also overseeing essential Human Resources functions. This position is responsible for ensuring accurate financial records, timely reporting, payroll execution, and compliance with accounting standards, while supporting HR administration and employee lifecycle processes. This role partners closely with executive leadership to provide reliable financial data, maintain internal controls, and support budgeting and audit processes. The ideal candidate brings strong accounting expertise, attention to detail, and the ability to manage both financial and people operations in a fast-paced environment. Qualifications * Bachelor’s degree in Accounting, Finance, Business, or a related field * Minimum of 3+ years of accounting experience, with exposure to HR operations * Experience overseeing AP/AR, payroll, reconciliations, and financial reporting * Supervisory or team leadership experience preferred * Advanced proficiency in Microsoft Excel; Great Plains experience preferred * Strong understanding of payroll, benefits accounting, and labor-related compliance * Excellent analytical, organizational, and communication skills * High level of discretion and confidentiality Key Responsibilities Accounting & Finance (Primary Focus) 70% of the role Financial Operations & Oversight * Oversee daily accounting operations, including Accounts Payable, Accounts Receivable, and General Ledger activity * Ensure accurate coding, documentation, and approval of all financial transactions * Maintain internal controls and ensure compliance with accounting policies and procedures Financial Reporting & Reconciliation * Reconcile concession, sponsorship, and event-related revenues * Prepare and submit required MiLB and Spring Training financial reports * Perform monthly bank and credit card reconciliations * Assist with month-end close, budgeting, forecasting, audits, and reforecasting activities Payroll & Benefits Accounting * Oversee bi-weekly payroll processing, ensuring accuracy and compliance * Reconcile payroll-related accounts and benefit deductions * Partner with HR to ensure accurate benefit enrollments and payroll allocations Audit & Compliance Support * Serve as a key liaison for internal and external audits * Coordinate with club leadership and external finance teams on financial reviews and procedures * Maintain financial documentation in compliance with regulatory and organizational standards Human Resources (Secondary Focus) 30% of the Role HR Administration & Compliance * Oversee personnel records, I-9 compliance, and policy acknowledgments * Ensure adherence to federal, state, and local labor laws * Support employee handbook updates and HR policy implementation Talent Support & Employee Lifecycle * Support recruitment, onboarding, and offboarding processes * Serve as an escalation point for employee inquiries and administrative HR matters Benefits & Leave Administration * Administer benefit programs, including health, dental, vision, and 401(k) plans * Manage COBRA, FMLA, and leave of absence tracking Leadership & Office Operations * Directly manage and support the Receptionist and HR/Admin Assistant * Provide guidance, task prioritization, and performance feedback * Promote efficient workflows and cross-functional collaboration * Manage vendor relationships related to finance, IT, and office operations * Oversee office supply and technology inventory Work Environment & Schedule * Primarily office-based with occasional on-field or event-related responsibilities * Availability required for evenings, weekends, and game days as needed #KT
