Prior experience in Accounting/Business/Bookkeeping may substitute for degree. Previous related experience including working within accounting system software. Working knowledge of computer word-processing and Microsoft Office applications, and Google. Ability to obtain a valid Arizona IVP Fingerprint Clearance Card. Utilize, with fidelity, the District Positive Behavior Intervention Support (PBIS) program at the building level. Ensure information obtained through the course of duties associated with this position, is held in the highest of confidentiality. Perform all duties in accordance with Federal and State laws, district procedures, and Board policies; including mandatory reporting procedures. Primary Duties and Responsibilities: Responsible for maintaining controls on fixed assets, prepares and maintains a fixed asset listing according to USFR and GASB rules; updates the General Fixed Asset (GFA) listings monthly acquisitions, disposals and depreciation; maintains adequate supporting documentation for all items on GFA listing, ensures all items listed are properly identified by property tag, serial number, etc. Responsible for all inventory control including annual physical inventories of fixed assets. Prepare and maintain documentation for all online assets being sold. Review and approve warehouse requisitions and be the point of contact for all district student activity clubs. Help train new school site and department secretaries on how to enter purchase requisitions and assist with coding questions. Maintain applicable reports, files, and records to provide up-to-date references and communication trail for audit compliance. Comply with all applicable state and federal regulations, policies, and procedures relating to district finance and school business management. Organizational Relationships: The Fixed Assets Specialist/Business Office Assistant reports to the Director of Finance. The Fixed Assets Specialist/Business Office Assistant will interact cooperatively with all other staff positions. All elements of good human relations will be practiced.
