Landscape Regional Ops Coordinator

JOB REQUIREMENTS: The Regional Operations Coordinator is responsible forplanning, organizing, directing, and coordinating all aspects of thesummer season for Winter Services Regional Division. This will includeprospecting and negotiation with existing and new partners, pre and postseason preparation, auditing, billing, and paperwork management for theRegional Team. The Regional Operations Coordinator will also help assistboth the Regional Sales Manager and Regional Operations Managers. DUTIES& RESPONSIBILITIES: Prospect, negotiate and build relationships withcurrent and potential subcontractor partners. Act as a liaison forWinter Services and the subcontractor partner to prepare agreements,site assignments and equipment rates for new/existing subcontractors.Ensures that all work performed conforms to specifications and withinbudgeted guidelines. Establish and administer operating policy andprocedures that will ensure adequate performance and personnel safety.Effectively and clearly communicate with clients, vendors, staff,subcontractors, and management. Conduct cold-calls to potential newsubcontractors and qualify them for new accounts. Build and maintainSubcontractor file and ensure receipt of all required forms (i.e. signedagreement, W-9, C.O.I.). Ensure new subcontractors provide all necessarypaperwork to the office PRIOR to performing work on a customer\'s site.Ensure the completion of required paperwork from subcontractor prior tosubmitting it to the clearing house. Monthly audit of Subcontractorfiles to ensure valid C.O.I. based on insurance requirements and C.O.I.expiration. Support/Monitor IVR/App Systems (setup, billing, training)IVR/App System - Collect all services performed after each storm andreview it for completeness and accuracy. Reach out to subcontractorsthat have not submitted correct information due to weather conditionsnot matching services performed Handle any subcontractor pay questionsand discrepancies Assist the Clearing House Department in conductingpre-season audits of all Subcontractor and equipment rates. ConductPre/Post Regional District follow ups with customers and subcontractors.Assist with updating property site maps. Assist with performing variousfiling projects. PHYSICAL DEMANDS: Physical endurance, as a RegionalOperations Coordinator may need to be up for long hours, spend a lot oftime on the phone at all hours of the day/night to ensure we are meetingthe customer\'s expectations Occasional lifting of objects weighting upto 50 pounds Sitting for extended periods of time Occasionally stoop,kneel or crouch Use hands and arms to reach for, grasp and manipulateobjects WORKING CONDITIONS: Working conditions are normal for an officeenvironment.
