Compliance & Payroll Operations Specialist (Wilmington)

This is a permanent role with a remote-first setup; however, candidates should be located near Wilmington, NC, or Bellevue, WA, as there will be weekly in-person coffee meetups.This role owns Bee Talent's multi‐state compliance, payroll operations, and audit readiness, and plays a key role in our migration from ADP RUN to ADP Workforce Now. You will process payroll for all employees and ensure our staffing operations remain compliant across states and enterprise clients. This is not an HR role — it is a technical, compliance‐driven operations position.Key ResponsibilitiesCompliance & State RegistrationsManage multi‐state registrations: SUTA, withholding, local tax accounts, E‐Verify, and state portals.Maintain a master tracker of all state accounts, renewals, and compliance deadlines.Payroll OperationsProcess payroll for all Bee Talent employees and contractors.Ensure accurate multi‐state payroll compliance using ADP RUN and Workforce Now.Validate WC code assignment (e.g., 8859 for software engineers).Monitor payroll tax filings, notices, amendments, and agency correspondence.ADP Workforce Now ImplementationServe as an operations lead during the transition from ADP RUN to Workforce Now.Assist with configuration, testing, data validation, and rollout.Document new workflows and ensure smooth adoption across the organization.Audit & DocumentationMaintain audit‐ready documentation for enterprise clients (Riot, EverHive, Okta, etc.).Prepare compliance packets: pay stubs, background checks, onboarding docs, WC certificates.Onboarding ComplianceEnsure workers meet federal, state, and client‐specific onboarding requirements.Manage I‐9, E‐Verify, and background check compliance.Vendor & Agency CoordinationServe as the operational contact for ADP, insurance brokers, EOR partners, and state agencies.Resolve compliance issues, tax notices, and payroll discrepancies.Process & SOP OwnershipBuild and maintain SOPs for compliance, payroll operations, and audit workflows.Identify gaps and implement scalable improvements.Required Qualifications2–5 years in multi‐state payroll, staffing operations, or compliance.Good to have - experience with ADP RUN; familiarity with Workforce Now preferred.Strong knowledge of payroll tax systems, WC codes, I‐9/E‐Verify.Excellent documentation, accuracy, and organizational skills.Preferred QualificationsStaffing agency or MSP/VMS experience.Experience supporting payroll system implementations.Familiarity with DE9/DE9C, WC audits, and multi‐state expansion.
